Job Description
Patient Care Coordinator Are you ready to become an essential part of an exceptional dental team? Our established, private dental practice in West Knoxville is seeking a polished, dependable, patient-focused Patient Care Coordinator to join our high-performing team. This is an important front-office role for someone who thrives in a busy environment, communicates with warmth and confidence, and takes pride in creating an outstanding experience for every patient—from the first phone call through continuing care. The Patient Care Coordinator is the face and voice of our practice. You will welcome patients, build trust, manage a fast-moving schedule with precision, and support a smooth, productive day for our doctors, hygienists, clinical team, and patients. We are looking for a long-term team member who is organized, emotionally intelligent, positive under pressure, and able to confidently work with patients of all personalities, needs, and circumstances. What You'll Do Create a warm, professional, and caring experience for every patient—by phone, text, email, and in person Serve as the first point of contact for new and existing patients, responding with empathy, professionalism, and excellent communication skills Coordinate patient care from the initial inquiry through appointments, treatment follow-up, and continuing-care recare compliance Manage and optimize doctor and hygiene schedules to support excellent patient service, efficient workflow, and practice production and collection goals Fill openings thoughtfully and proactively while protecting an ideal, balanced daily schedule Confirm appointments, reduce cancellations and no-shows, maintain recall systems, and follow up with patients who are overdue for care Maintain accurate patient records and complete all administrative and computer-entry responsibilities with exceptional attention to detail Communicate effectively with the clinical team to ensure patients receive clear, coordinated, and timely care Represent the practice with kindness, professionalism, discretion, and a solutions-oriented mindset Cross-train with the Financial Coordinator to provide dependable coverage and support when needed Who You Are You may be an excellent fit if you are: A genuinely kind, confident communicator who enjoys helping people feel comfortable and cared for Highly organized, detail-oriented, and able to manage multiple priorities without losing sight of the patient experience Dependable, punctual, stable, and interested in becoming a valued long-term member of a close-knit team Comfortable working with a wide range of patients, including those who may be anxious, frustrated, confused, or facing financial or scheduling challenges Proactive and resourceful, with the ability to anticipate needs and solve problems before they become larger issues Professional, polished, and calm in a fast-paced environment A collaborative team player who is willing to step in, learn new responsibilities, and support others Comfortable using dental software, phones, text/email communication, and computer systems with accuracy and efficiency Motivated by goals and able to balance strong customer service with the operational needs of a successful practice What We Value Our office is built around patient-centered care, teamwork, accountability, professionalism, and mutual respect.
