Full-Time Position Overview We are seeking an experienced, organized, and dependable Office Manager to oversee the daily operations of a busy primary care medical office. The Office Manager will be responsible for ensuring efficient office operations, supporting clinical and administrative staff, maintaining excellent patient service, and helping the practice meet its operational and financial goals. The ideal candidate is a strong leader who is comfortable managing staff, solving problems, communicating with providers and patients, and keeping day-to-day operations running smoothly. Key Responsibilities Oversee daily administrative and operational functions of the medical office Supervise, train, schedule, and support front-office and administrative staff Develop and maintain efficient office workflows and procedures Coordinate provider and staff schedules Monitor patient flow and help ensure a positive patient experience Oversee registration, scheduling, check-in/check-out, referrals, and medical records processes Assist with insurance verification, authorizations, billing coordination, and collections Monitor office supplies, equipment, and inventory Address patient concerns and resolve operational issues professionally Maintain compliance with HIPAA, OSHA, and applicable healthcare regulations and policies Assist with hiring, onboarding, performance evaluations, and staff development Monitor office productivity, quality, and financial performance Work closely with physicians and clinical leadership to identify and resolve operational challenges Maintain accurate documentation and ensure office policies and procedures are followed Handle other administrative responsibilities as needed to support the practice Qualifications Previous experience as a medical office manager, practice manager, or healthcare supervisor preferred Primary care or physician practice experience strongly preferred Strong knowledge of medical office operations and workflows Familiarity with electronic medical records (EMR/EHR) systems Understanding of insurance, referrals, authorizations, and medical billing processes Excellent leadership, communication, and organizational skills Ability to manage multiple priorities in a fast-paced environment Strong problem-solving and decision-making abilities Professional, dependable, and patient-focused Ability to maintain confidentiality and comply with HIPAA requirements Schedule Full-time, 40+ hours per week. The Office Manager is expected to be available during regular practice hours and may occasionally work additional hours based on staffing, patient volume, and operational needs.
