Job Description

Job Summary We are seeking a dynamic and highly organized Office Manager with a strong background in marketing, to lead our administrative operations and support our marketing initiatives. This role offers an exciting opportunity to oversee daily office functions, coordinate marketing activities, and ensure smooth communication across teams. The ideal candidate will be energetic, detail-oriented, and possess excellent multitasking skills to foster a productive and welcoming office environment while driving marketing projects forward. Duties Open and close the clinic daily. Ensure the clinic is clean, organized, and fully stocked. Maintain office supplies and therapy materials. Oversee front desk operations and daily workflow. Answer phones, emails, and text inquiries professionally. Provide exceptional customer service to families. Scheduling & Patient Coordination Schedule evaluations and ongoing therapy appointments. Insurance & Prior Authorizations Verify insurance benefits and eligibility. Submit and track prior authorizations. Follow up with insurance companies regarding approvals and denials. Coordinate referrals and physician documentation. Assist with intake paperwork and insurance requirements. Prior authorization and insurance verification experience is preferred. Marketing & Community Outreach Build relationships with physicians, schools, daycares, and community organizations. Coordinate marketing events, health fairs, and back-to-school events. Visit referral sources to promote clinic services. Assist with social media, promotional materials, and community engagement. Track referral sources and maintain referral relationships. Administrative Duties Process new patient referrals. Assist with billing support and insurance documentation. Maintain HIPAA-compliant records. Support therapists and leadership with administrative needs. Help improve office systems and workflow. Clinical Support Serve as a backup Registered Behavior Technician (RBT or BT ) when needed Assist therapists with clinic flow during busy periods. Support parent communication and client satisfaction. Coordinate therapist schedules and manage cancellations. Confirm appointments and communicate schedule changes. Maintain accurate patient records and documentation. Minimum 2 years of medical office or healthcare administrative experience preferred. Experience with insurance verification and prior authorizations preferred. Marketing or community outreach experience is a plus. Strong organizational and multitasking skills. Excellent written and verbal communication. Ability to work independently and take initiative. Proficient with Microsoft Office and Google Workspace. $18.00 - $20.00 per hour
