Saving Limbs. Saving Lives. We are seeking an experienced, detail-oriented, and compassionate New Patient Referral Coordinator to join our growing cardiovascular practice. This role is ideal for someone who thrives in a fast-paced medical office, enjoys building relationships with patients and referring providers, and takes pride in ensuring every patient receives timely access to life-changing cardiovascular care. Responsibilities Receive, review, and process incoming referrals accurately and efficiently. Contact new patients promptly to schedule consultations and diagnostic testing. Verify insurance eligibility and determine referral and authorization requirements. Obtain medical records, imaging, and supporting documentation before appointments. Communicate with referring physician offices regarding referral status and additional documentation needed. Track referrals from receipt through scheduling and treatment. Maintain referral work queues and ensure no referral goes unattended. Coordinate with providers, medical assistants, and front office staff to optimize scheduling. Document all patient interactions accurately within the electronic medical record (EMR). Follow up on pending referrals, insurance authorizations, and incomplete documentation. Deliver exceptional customer service while creating a welcoming and professional patient experience. Meet referral conversion and scheduling goals while maintaining accuracy and compliance. Qualifications Minimum 2 years of medical referral coordination or medical scheduling experience (cardiology or vascular experience preferred). Knowledge of insurance verification, referrals, and prior authorizations. Experience working within an EMR (Athenahealth experience is a plus). Strong organizational and multitasking skills. Excellent verbal and written communication skills. Ability to work independently while collaborating with a team. High attention to detail and strong problem-solving abilities. Professional, compassionate, and patient-focused attitude. Preferred Experience Cardiology, vascular, or specialty practice experience. Understanding of cardiovascular diagnostic testing and procedures. Experience communicating with physician offices and healthcare networks. Familiarity with Medicare, commercial insurance plans, and HMO referral processes.
