ARC is seeking a highly organized, compassionate, and dependable Patient Experience & Front Office Coordinator to join our team. This is more than a traditional receptionist role. You will be one of the first points of contact for clients and families while helping manage the daily administrative flow of a fast-paced neuropsychological and behavioral health clinic. The ideal candidate is professional, detail-oriented, calm under pressure, comfortable managing multiple priorities, and able to take ownership of responsibilities as they are trained. Key Responsibilities Greet clients and families warmly and professionally. Answer phones and respond to client questions appropriately. Schedule and reschedule appointments accurately. Complete appointment confirmations and follow-up communication. Communicate with clients through phone, email, SMS, and SimplePractice. Maintain accurate client records, administrative notes, and documentation. Review accounts for missing forms or incomplete information and follow-up as needed. Educate clients on ARC policies, scheduling procedures, and administrative processes. Notify clinicians when clients arrive and assist with front-office coordination. Support the clinical and operational team with administrative needs. Maintain an organized and professional front-office environment. Follow HIPAA requirements, ARC procedures, and confidentiality standards. What Success Looks Like The right person for this role: Takes ownership and follows through without repeated reminders. Excellent customer-service and telephone skills. Strong organization and attention to detail. Ability to manage multiple priorities and frequent interruptions. Strong computer and data-entry skills. Ability to learn electronic medical record and scheduling systems. Ability to maintain strict confidentiality and comply with HIPAA. Dependable, punctual, and able to work on-site in Frisco, Texas. Comfortable receiving feedback and being held accountable for responsibilities. Preferred 3+ years of experience in medical front office, healthcare administration, patient services, behavioral health, dental, therapy, or another high-accountability client-service environment. Experience with electronic medical records or practice-management software. Experience scheduling appointments for multiple providers. Experience working with parents, families, or healthcare clients. Experience with SimplePractice or similar systems. Bilingual abilities are a plus.
