We are known for delivering natural, results-driven aesthetic treatments in a luxury, patient-centered environment. Our team focuses on long-term relationships, comprehensive treatment planning, and exceptional patient experiences. We are seeking a personable, dependable, and professional Patient Care Coordinator to manage our front desk and help patients feel welcomed, understood, and cared for. The right person enjoys helping people, notices the details, and follows through. You will help keep the day organized so our providers can focus on patient care.

Sound judgment, honesty, and discretion; protects patient privacy and knows when to involve a provider or manager. Dependable work ethic and a willingness to help coworkers, take responsibility for mistakes, and apply feedback. A genuine enthusiasm for aesthetic medicine, along with a commitment to staying informed about our treatments, skincare offerings, and practice software. Responsibilities (include but are not limited to): Welcome patients and visitors, manage check-in and checkout, and keep patients informed of delays or next steps. Answer calls and messages promptly and professionally, respond accurately to inquiries, and help prospective patients schedule appropriate appointments. Schedule and confirm appointments, verifying the service, provider, appointment length, and preparation requirements. Monitor patient flow and address scheduling concerns early. Prepare for upcoming visits by checking patient information, forms, and other requirements. Maintain accurate demographics, records, consent forms, and before-and-after photographs according to practice procedures. Process payments accurately, explain approved pricing clearly, and assist with inventory and other administrative duties. Complete appointment reminders, patient and lead follow-up, and rebooking. Track open questions and commitments until they are resolved, with clear handoffs to the appropriate team member. Explain services, products, and provider-approved pre- and post-care instructions. Refer clinical questions, symptoms, or treatment concerns promptly to a provider; do not give independent medical advice or promise results. Introduce complementary services and skincare products consistent with the patient's treatment plan, without pressure or exaggerated claims. Room patients and ensure treatment rooms are prepared for scheduled visits. Oversee end-of-day preparation to ensure the practice is organized, stocked, and ready for the next day's patients. Assist with marketing and promotional activities, including social media, web, and direct mail. Maintain a clean, safe, and organized work environment. Follow practice policies for infection control, patient privacy, and HIPAA, and handle patient information discreetly.
Requirements:
Minimum 2 years of experience in patient coordination, medical front office operations, or a comparable client service role; 3 or more years preferred. Medical aesthetics, plastic surgery, or dermatology experience strongly preferred. Demonstrated ability to manage competing priorities, anticipate patient and team needs, and follow tasks through to completion with minimal prompting. Proficiency with computers, electronic medical records, and current software applications; ability to learn our scheduling, messaging, and payment systems. Ability to meet U.S. employment eligibility requirements. High school diploma or equivalent required; some college preferred.
