In this vital role, you will serve as the primary liaison between patients, insurance companies, and our clinical team, ensuring smooth coordination of insurance benefits, treatment plans, and financial arrangements. Your energetic approach will help patients navigate their dental insurance options confidently while maintaining compliance with healthcare regulations. This position offers an exciting opportunity to utilize your medical office experience, strong customer service skills, and comprehensive knowledge of health insurance policies to enhance patient satisfaction and practice efficiency. Responsibilities Verify patient insurance coverage and benefits prior to treatment using electronic health records (EHR) systems and insurance portals. Obtain insurance prior authorizations and manage ongoing communication with insurers to facilitate timely approvals for dental treatments. Accurately code procedures using CDT (Current Dental Terminology) codes ensuring precise billing and documentation. Review medical records and dental charts to confirm clinical information aligns with insurance requirements while maintaining strict adherence to HIPAA (Health Insurance Portability and Accountability Act) confidentiality policies. Assist patients in understanding their dental insurance benefits, including coverage limitations, copayments, deductibles, and out-of-pocket expenses. Prepare detailed claims for submission to dental insurance organizations and follow up on unpaid or denied claims to secure appropriate reimbursements. Provide exceptional customer service by addressing patient inquiries related to insurance coverage, billing issues, and treatment financing options promptly and professionally. Greet patients, manage check-ins and check-outs, and answer phone calls, emails, and texts promptly. Book, confirm, and optimize the daily production schedule for dentists and hygienists. Qualifications Proven experience in a dental office environment with a focus on insurance verification, billing, and presenting treatment plans. Strong knowledge of dental insurance policies, managed care processes, HIPAA regulations, and clinical confidentiality policies. Proficiency in CDT coding, dental terminology, and electronic health record (EHR) systems such as Dentrix and Dental Intel platforms. Familiarity with Microsoft Office applications for documentation and communication purposes. Excellent customer service skills with the ability to explain complex insurance concepts clearly to patients. Ability to handle multiple tasks efficiently while maintaining attention to detail in a fast-paced environment. Knowledge of medical billing practices including claims submission, follow-up procedures, and appeals processes. Strong multitasking abilities, professional phone etiquette, customer service focus, and clear verbal communication. RDA certified a PLUS.
