Job Description Join one of the leading, well-established functional medicine practices in the DFW area. Dynamic Life Health Center is a private, self-pay practice with one physician and one physician assistant, focused on identifying and addressing the root causes of illness through advanced diagnostic testing and a personalized approach to care. We are seeking a dynamic, detail-oriented New Patient Coordinator & Social Media/Marketing Specialist to support practice growth and provide an exceptional first impression to prospective patients. This role serves as the bridge between initial inquiry and long-term patient relationships, guiding individuals through the onboarding process with professionalism, clarity, and care. The ideal candidate is personable, organized, and technology proficient, with strong communication skills and the ability to build trust. They are responsible for converting inquiries into scheduled new patient appointments while also managing social media engagement, marketing materials, and coordination of in-house and community outreach initiatives. Key Responsibilities New Patient Coordinator Maintain and update the CRM system with accurate prospective new patient and lead information, ensuring compliance with HIPAA guidelines. Respond promptly to prospective patient inquiries across CRM, phone, email, text, and online platforms, providing timely follow-up and managing communication pipelines and nurture campaigns. Educate prospective patients on practice philosophy, services, pricing, and care processes to support conversion of inquiries into scheduled appointments. Manage the full onboarding process for prospective patients, including appointment scheduling (CRM and EMR systems), intake forms, medical records collection, and payment processing. Ensure a smooth and seamless patient experience from initial contact through the first office visit. Generate reports on lead sources, conversions, and engagement metrics. Provides general administrative and front office support as needed. Social Media & Marketing Manage, create, and publish social media content across platforms (e.g., Instagram, Facebook), including audience engagement through timely responses to messages, comments, and community interaction to support brand visibility and growth. Work alongside our external marketing company in planning and executing social media strategies. Monitor performance metrics and recommend marketing strategies. Oversee online reputation management, including monitoring, tracking and responding to reviews. Manage in-office marketing materials, campaigns, and promotions, and lead the coordination and execution of community and in-house events and initiatives. Qualifications 2+ years of experience in new patient scheduling and coordination in a healthcare setting. 2+ years of experience in marketing, including social media management, content creation, analytics, and community/in-office outreach events and promotions. 2+ years of experience in customer service and sales, with a proven ability to meet performance goals and confidently communicate pricing and service value to prospective patients. Experience with CRM and EMR systems, and handling confidential and protected health information in compliance with privacy standards. Strong computer skills, including proficiency in Microsoft Word and Excel, with excellent written and verbal communication skills and strong interpersonal abilities. Highly organized with strong attention to detail and multitasking ability; demonstrates reliability, punctuality, consistent attendance, and a professional appearance, with willingness to collaborate across administrative and clinical teams. Functional medicine knowledge is preferred but not required. High school diploma or equivalent required. Location and Schedule In-person position based in Southlake, TX Full-time, Monday-Friday, 9:00 AM-5:30 PM Compensation $20.00-$22.00 per hour, based on experience, with potential for increases based on performance.
