Position Summary- Administrative Assistant/ Scheduling Coordinator The scheduling coordinator has a crucial position as a part of the administrative and marketing teams for the office.
Essential Functions:
Greets all patients upon arrival with warm, friendly smile and checks them in and bids them farewell upon exit Schedules appointments for patients in a timely manner and provides any requested reminder cards. Warmly answers phones and professionally represents our office in all phone interactions. Stocks back admin area with promo material/ monthly contests/ etc Updates marking flip chart Helps assist with morning meetings Updates monthly new patient chart in clinic Oversees all office mail by sorting, opening and organizing and taking mail daily to post office Processes payments via mals/ checks and insurance payments/ takes deposit daily Scans in EOBs/ important documents/ invoices and keeps monthly folder Monitors company email and responds to new patient requests Liason between patient and site coordinator/ general manager/ doctor Keeper of patient schedule Helps with Reevaluations/ clinic if needed Opens/ Closes back admin area/ sets alarm Batches out Credit Card and Care Credit terminal/ Prints financial day sheet Assists clinic with seating patients/ patient flow Submits, checks and follows up with insurance questions for patients Schedule Monday- Regularly Scheduled from 12pm

- Not regularly scheduled, but a willingness to participate in occasional work activities is required. An understanding that if future months or years with advance notice the office may begin offering patient appointments on one or two Saturdays a month from 9 am to 2 pm and all assistants would take turns working a Saturday shift. - Clinical Assistant The Clinical Assistant has a very important and crucial role of assisting the Doctor directly with patients.
Essential Functions:
Greet patients with a smile and seat them within 3 minutes of their appointment time Develops relationships with patients during their appointment by initiating conversation and asking questions to make patients feel comfortable during their appointment. Cleans and moves around the clinic in an efficient and happy way. Maintain patient flow pattern to allow patients to leave at the scheduled appointment end time. Begin procedures by checking patients for loose bands/bonds, conducting the initial fittings of bands and preparation for bondings. Assists doctor in any given procedure needed including operative (4 handed) procedures and anticipates what doctor may need. Successfully place separators/ powerchains and elastomeric thread/ steel ties Effectively clip poking wires without breaking brackets off of the last tooth Monitor oral hygiene of patients and provide instruction on correct brushing Properly make clean, well fitting retainers Accurately charts notes in WaveOrtho for patients current and next appointment Ensures drawers are stocked and organized with necessary tools and sterilizers are refilled and cleaned. Takes necessary patient and treatment records (photos, alginate impressions, x-rays). Coordinates all records/ appliances to Labs and sends letters to general dentists after operative appointments. Performs digital intraoral scans for Invisalign and sends out any records/ appliances to Invisalign Debriefs patient and parents in a "walk out" by professionally and positively communicating treatment that took place during the visit, answering any questions and previewing treatment for the next visit. Assists in setting patient's next appointment if front desk is unable to do so timely. Travel Requirements Ability to travel/commute to and from the Herriman and West Jordan locations. Able to travel to Duchesne with provided transportation.
