We are looking for a friendly, dependable, and motivated Patient Care Coordinator (PCC) to join our team at our Layton, Utah clinic . Position Overview The Patient Care Coordinator is often the first and last point of contact for our patients and plays an important role in the success of the clinic. You will help create a welcoming and professional environment while managing patient scheduling, phone calls, records, payments, hearing device orders and repairs, and other front-office responsibilities. You will work closely with our hearing care providers to keep the clinic organized, productive, and running smoothly. The PCC will also help with patient outreach and building relationships within the local community, including senior living communities and care centers. This position is primarily based in our Layton clinic and will work closely with our other Elite Hearing locations throughout Utah. Responsibilities Answer incoming patient calls, texts, and emails in a friendly and professional manner. Return patient calls and follow up on inquiries in a timely manner. Schedule, confirm, and manage patient appointments. Greet patients and create a welcoming experience from the moment they enter the clinic. Complete patient check-in, verify information, and assist with intake paperwork. Schedule follow-up appointments and necessary callbacks during patient check-out. Collect patient payments and maintain accurate daily payment records. Document patient communications and maintain accurate electronic patient records. Assist with hearing aid orders, repairs, warranties, and receiving incoming devices. Prepare hearing devices and necessary materials for upcoming patient appointments. Maintain and track clinic inventory and supplies. Support hearing care providers with scheduling, patient coordination, and daily clinic workflow. Conduct patient outreach and follow-up to help maintain strong relationships with existing patients. Develop and maintain relationships with local senior living communities, retirement homes, and care centers. Maintain a clean, organized, professional, and welcoming clinic environment. Assist with additional administrative and patient-care responsibilities as needed. Qualifications Professional, friendly, and dependable. Excellent verbal, written, and face-to-face communication skills. Strong organizational skills and attention to detail. Comfortable managing multiple responsibilities in a fast-paced environment. A proactive approach to customer service and problem-solving. Comfortable with a sales-oriented mindset and helping patients move forward with recommended care. Ability to build genuine relationships with patients and make them feel comfortable and valued. High school diploma or equivalent required; associate degree preferred but not required. At least 1 year of front-office, customer service, medical office, or sales experience preferred . Previous hearing healthcare experience is a plus but is not required. Strong time-management and multitasking skills. Ability to work independently while also collaborating effectively with providers, team members, and support staff. Ability to handle sensitive patient information with professionalism, discretion, and confidentiality. Comfortable learning and using technology, including electronic patient management systems. Intermediate knowledge of Google Workspace, including Google Docs and Google Sheets . Ability to perform basic troubleshooting of common office equipment, including printers and scanners.
