Job Description

Utah Physical Therapy in Farr West, UT is seeking a highly organized, customer-focused Front Office Coordinator to lead our front office operations and create an exceptional patient experience. This is an excellent opportunity for someone who thrives in a fast-paced healthcare environment, and is passionate about providing outstanding service while supporting a collaborative clinical team. You will serve as a front office leader , overseeing daily operations, managing insurance authorizations, coordinating scheduling, and ensuring the clinic runs efficiently every day.
Pay:
$20.00-$22.00 per hour, depending on experience and qualifications.
Schedule:
Full-time, 40 hours per week Schedule will vary within clinic hours and includes some full-day shifts based on clinic needs. No weekends. Responsibilities Support the Clinic Director with daily operations and clinic initiatives. Foster a positive, collaborative, and professional work environment. Ensure staff complete required trainings and follow company policies. Coordinate agenda items and participate in leadership and staff meetings. Manage employee timekeeping and review paid/unpaid time-off requests. Patient Experience Greet patients and visitors with professionalism and exceptional customer service. Serve as a patient advocate by addressing questions and concerns promptly. Maintain HIPAA compliance and patient confidentiality. Ensure patients are scheduled appropriately for optimal clinic flow. Monitor patient schedules, follow up on missed appointments, and ensure future visits are scheduled through anticipated discharge. Insurance & Administrative Responsibilities Coordinate insurance verifications and authorizations with patients, providers, billing staff, and insurance carriers. Monitor authorization status to ensure visits remain eligible for reimbursement. Maintain accurate patient accounts and documentation within the electronic medical record (EMR). Respond to emails, phone messages, faxes, and patient inquiries in a timely manner. Financial & Office Operations Process patient payments and provide receipts. Balance and reconcile daily batches and complete bank deposits. Monitor petty cash and report discrepancies. Process employee and clinic expense reports. Maintain office supplies and support overall clinic organization. Ensure the clinic opens and closes properly each day. Reporting & Compliance Prepare and submit operational reports. Ensure physician profiles and clinic schedules remain current in the EMR. Promote compliance with HIPAA, PCI, and company policies. Qualifications Minimum of 2 years of relevant experience. Strong customer service and communication skills. Excellent organizational, time management, and problem-solving abilities. Experience with insurance verification, authorizations, scheduling, and patient accounts preferred. Proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint). Ability to multitask in a fast-paced environment while maintaining accuracy and professionalism. Current CPR for Healthcare Professionals certification or ability to obtain. Commitment to maintaining patient confidentiality and HIPAA compliance. Physical Requirements Primarily office-based work with prolonged sitting and computer use.
