Front Desk Clinic Coordinator Refresh Utah Job Type:
Full-Time Pay:
$17.00 - $24.00 per hour + Bonus Opportunities Be the Heart of the Patient Experience Refresh Utah is seeking a highly organized, patient-focused, and results-driven Front Desk Clinic Coordinator to join our growing team. This is not a traditional receptionist position. We are looking for someone who takes ownership, thrives in a fast-paced environment, and understands that exceptional patient experiences begin the moment a patient reaches out to our clinic. This role combines front desk operations, patient experience, scheduling, sales support, and lead conversion. The ideal candidate is confident on the phone, enjoys building relationships, loves helping people, and understands that every inquiry is an opportunity to create a lifelong patient.
What You'll Do:
Patient Experience Welcome patients with warmth, professionalism, and enthusiasm Create a five-star experience from check-in through checkout Build strong patient relationships that increase retention and loyalty Handle patient questions and concerns with confidence and compassion Maintain a clean, organized, and professional front office environment Scheduling & Communication Answer incoming calls, texts, emails, and online inquiries Schedule consultations and treatment appointments efficiently Confirm appointments and optimize provider schedules Reduce cancellations and no-shows through proactive communication Maintain accurate patient records and documentation Lead Follow-Up & Consultation Conversion A major responsibility of this position is converting prospective patients into scheduled consultations. You will be responsible for following up with leads generated through Facebook, Instagram, Google, the website, events, referrals, and other marketing campaigns.
Responsibilities include:
Calling, texting, and emailing new leads daily Following up with Meta (Facebook and Instagram) advertising leads Building rapport and trust with prospective patients Answering questions about treatments and services Overcoming objections and helping patients feel comfortable scheduling Re-engaging inactive and aged leads Maintaining consistent follow-up using our CRM systems Tracking lead activity and outcomes Sales & Growth Support Educate patients on memberships, treatment plans, packages, and promotions Support consultation-to-treatment conversions Help patients understand provider recommendations Assist with retail sales and product recommendations Contribute to clinic growth through exceptional service and follow-up Administrative Responsibilities Process payments and financing options Maintain patient charts and records Assist with inventory and retail merchandising Complete daily administrative tasks and reporting Support providers and management as needed QualificationsRequired Minimum 1 year of customer service experience Strong verbal and written communication skills Comfortable making outbound calls and following up with leads Highly organized with strong attention to detail Positive attitude and professional appearance Ability to multitask in a fast-paced environment Reliable, coachable, and accountable Preferred Experience in a medical spa, aesthetics, cosmetic, dental, wellness, or healthcare setting Experience with CRM or patient scheduling software Sales, hospitality, or consultative customer service experience Knowledge of aesthetic treatments and skincare products Compensation & BenefitsHourly Pay $17.00-$24.00 per hour based on experience Bonus Opportunities Additional bonuses may be available based on: Consultation bookings Lead conversion performance Membership sales Rebooking percentages Patient retention Clinic growth metrics Benefits Employee discounts on treatments and skincare products Ongoing training and professional development Career advancement opportunities Supportive team environment Opportunity to grow within a rapidly expanding aesthetic practice Success in This Role Looks Like Patients consistently leave positive reviews about their experience Leads are contacted promptly and professionally Consultation schedules remain full Patients return regularly and refer friends and family Memberships and treatment plans are consistently presented The front desk operates efficiently and proactively The clinic experiences steady growth through strong patient relationships and lead conversion Who This Position Is Not For This position is not for someone looking to simply answer phones and check patients in.
