In this vital role, you will serve as the primary point of contact for patients, ensuring a smooth and welcoming experience from appointment scheduling to follow-up care. The ideal candidate is an individual with enthusiasm and a passion for working with children. Responsibilities Greet patients warmly and assist them with appointment scheduling, rescheduling, and cancellations using medical office software. Verify patient insurance information and collect necessary documentation to facilitate billing processes. Collect copayments/responsible balances through our secure payment portal and attach payments to the correct patient account. Maintain accurate and organized patient records, ensuring confidentiality and compliance with privacy regulations. Coordinate communication between patients and healthcare providers, including follow-up calls and appointment reminders. Support medical staff by preparing exam rooms, managing patient flow, and handling administrative tasks such as data entry and filing. Provide clear explanations of treatment procedures, billing policies, and office protocols to patients to enhance their understanding and comfort. Assist with managing incoming and outgoing fax requests, to create efficient responses in time and follow ups with patient or insurance information. Qualifications Prior experience working in a medical or dental office environment is highly preferred. Bi-lingual in English and Spanish is a plus but not required. Strong knowledge of medical terminology to accurately interpret clinical notes and communicate effectively with healthcare providers. Proven ability to provide excellent medical administrative support in a fast-paced setting. Office experience demonstrates proficiency with scheduling software, electronic health records (EHR), or similar systems. Excellent communication skills, both written and verbal, with a friendly yet professional demeanor. Ability to multitask efficiently while maintaining attention to detail in a busy healthcare environment.
