This position is ideal for someone who enjoys working with people, provides exceptional customer service, and is comfortable helping patients navigate their aesthetic journey from their first inquiry through treatment and follow-up. The Patient Care Coordinator serves as one of the first points of contact for our patients and plays an important role in creating a welcoming, professional, and organized experience.

Responsibilities:

Greet and check in patients in a warm and professional manner Answer incoming phone calls, texts, and patient inquiries Schedule, confirm, reschedule, and manage appointments Respond promptly to new patient and treatment inquiries Educate patients on available services and help guide them toward appropriate consultations Follow up with prospective patients and leads Assist with converting inquiries and consultations into booked appointments Collect deposits and process patient payments Explain financing and payment options when applicable Maintain accurate patient information and appointment records Conduct appointment confirmation and follow-up communication Rebook patients and encourage appropriate future appointments Help maintain a clean, organized, and professional reception area Assist with retail product sales and inventory as needed Support providers and aestheticians with daily patient flow Maintain strict patient confidentiality and professionalism Assist with occasional events, promotions, and other administrative duties Create a minimum of 3 original marketing advertisements per week using Canva or approved design software. Preferred Experience:

Previous experience in a medical spa, plastic surgery office, dermatology practice, healthcare office, salon/spa, hospitality, sales, or customer service is preferred but not required. Experience with patient scheduling, lead management, CRM systems, financing platforms, or aesthetic services is a plus.

Schedule:

Part-time. Availability may include select evenings and/or Saturdays depending on business needs. Nothing past 5pm. And no Sunday's.

Compensation:

Starting pay based on experience, with opportunities for performance-based incentives.
