Facility Administrator - Residential Behavioral Health Veltex Recovery Group | Mount Hope, West Virginia Full-Time |
On-Site Starting Salary:

Veltex Recovery Group is seeking an experienced, highly organized and solutions-oriented Facility Administrator to lead the day-to-day administrative and operational functions of our residential substance use disorder treatment facility in Mount Hope, West Virginia. This is a hands-on leadership position for someone who can manage multiple priorities, delegate effectively, monitor performance and bring issues to resolution . The Administrator serves as the primary on-site administrative leader and an important point of coordination among facility operations, clinical services and medical services. We are not looking for someone who believes effective administration means personally performing every task. We are looking for a leader who can determine what needs to be done, who is best positioned to do it, when it needs to be completed, and whether it was completed correctly. The successful candidate will understand that residential behavioral healthcare requires strong communication and collaboration across disciplines. The Administrator will work closely with clinical leadership, medical providers, nursing, intake and direct-care staff to ensure operational issues are resolved, documentation expectations are met, and clients receive appropriate, well-coordinated care. The Role The Facility Administrator is responsible for keeping the facility organized, compliant, responsive and accountable . Routine operational and administrative functions may be delegated to designated facility staff. This can include appropriate responsibilities related to staffing coordination, scheduling, maintenance requests, supplies, administrative follow-up and other routine facility needs. The Administrator remains responsible for establishing expectations, monitoring completion and ensuring that important matters do not fall through the cracks. A significant component of the position is compliance and documentation oversight . The Administrator should have a working understanding of ASAM levels of care, medical necessity and the documentation necessary to support residential behavioral health services. The Administrator will not replace the judgment of qualified clinical or medical professionals. Rather, the Administrator must be capable of recognizing when documentation, authorization, operational, clinical or medical issues require attention and bringing the appropriate professionals together to develop and implement an effective solution. The objective is a facility in which operations support treatment—not interfere with it—and where administrative, clinical and medical teams work collaboratively to provide the appropriate level of care for each client. Key Responsibilities Provide overall administrative and operational leadership for the facility. Establish daily and ongoing operational priorities and ensure appropriate follow-through. Delegate routine administrative and operational responsibilities to designated staff and monitor successful completion. Coordinate staffing and BHT operational needs through appropriate lead or designated personnel. Ensure scheduling needs, maintenance requests, supplies and other routine facility matters are appropriately assigned and addressed. Maintain facility readiness for applicable regulatory, accreditation and payer reviews. Support compliance with applicable West Virginia requirements, accreditation standards, payer requirements and organizational policies. Monitor required documentation for timeliness, completion and identified deficiencies. Maintain a working understanding of ASAM criteria, levels of care, medical necessity and documentation expectations applicable to residential substance use disorder treatment. Work collaboratively with clinical and medical leadership when documentation, authorization, treatment or operational issues require multidisciplinary attention. Support authorization and utilization-management processes by helping ensure necessary documentation is timely, complete and internally consistent. Help ensure clients receive the highest clinically appropriate level of care supported by clinical need and medical necessity , with appropriate transitions as their needs change. Facilitate communication among administrative, clinical and medical personnel when barriers arise that could affect treatment, authorization, compliance or continuity of care. Identify developing problems early, determine the appropriate person or discipline to address them, establish expectations and follow through to resolution. Promote accountability, professionalism and effective communication throughout the facility. Maintain appropriate communication with corporate leadership regarding significant operational, compliance, staffing and client-care matters. Provide responsive leadership when significant facility needs require administrative attention outside the regular on-site schedule. Leadership Expectations This is an accountability-based leadership position in a 24-hour residential treatment environment . The Administrator will maintain a regular on-site leadership schedule while remaining reasonably accessible and responsive when significant facility needs require administrative attention outside scheduled hours. Success in this position is not measured simply by time spent at a desk. It is measured by whether the facility is operating effectively, responsibilities are appropriately delegated, documentation and compliance expectations are being met, problems are being resolved, and the team has the leadership and direction necessary to succeed. We are seeking someone who takes ownership of those outcomes. Who We're Looking For The ideal candidate is someone who can see the entire operation without feeling the need to personally perform every function within it . The successful candidate should be able to manage several priorities simultaneously, delegate appropriately, communicate clearly and maintain enough visibility over facility operations to recognize when something requires intervention.
Strong candidates will demonstrate:
Experience in behavioral health, substance use disorder treatment, residential healthcare, healthcare administration or a related environment. Knowledge of or meaningful experience with ASAM criteria and residential levels of care . Understanding of behavioral-health documentation and medical-necessity requirements. Strong organizational, delegation and follow-through skills. Ability to work effectively with clinical and medical professionals while respecting professional scopes of practice. Ability to supervise and coordinate direct-care and support personnel. Working knowledge of healthcare compliance and regulatory expectations. Sound judgment and the ability to distinguish routine operational matters from issues requiring immediate leadership involvement. Ability to manage competing priorities in a fast-moving residential environment. Strong written and verbal communication skills. A practical, collaborative and solutions-oriented leadership style. Flexibility and responsiveness appropriate to a 24-hour residential treatment setting. Experience with West Virginia behavioral-health regulation, Medicaid/MCO requirements, utilization management, CARF accreditation, electronic health records or residential SUD treatment is strongly preferred. Relevant healthcare, behavioral-health, administrative or management education and credentials are preferred; however, substantial relevant experience and demonstrated leadership ability will be given significant consideration. Compensation & Growth Opportunity Starting salary: $60,000 annually. The selected candidate will begin with a 90-day introductory performance period designed to evaluate mutual fit and demonstrated effectiveness in facility leadership, delegation, compliance oversight, documentation management, multidisciplinary coordination and problem-solving. Following successful completion of the introductory period, the Administrator's performance and compensation will be reviewed. Demonstrated success may result in increased compensation and eligibility for performance-based incentive opportunities.
