Healthcare Administrative Coordinator / Patient Services Representative We are seeking a highly organized, personable, and proactive Healthcare Administrative Coordinator / Patient Services Representative to join a busy onsite healthcare team. This position plays an important role in creating a positive patient experience while supporting the day-to-day administrative needs of multiple healthcare service lines. This is an onsite, temp-to-hire opportunity for a candidate who demonstrates a strong fit with the workflow, team environment, and client culture. All patients served at the facility are employees of the client organization. Key Responsibilities Check patients in and out while providing a welcoming, professional experience. Schedule appointments and manage waitlists across multiple healthcare service lines. Answer and respond to calls forwarded by the call center. Review scheduling requests and ensure patients are booked for the appropriate appointment and service type. Ensure required paperwork, consent forms, and other documentation are completed prior to patient visits. Respond to patient messages in a timely, courteous, and professional manner. Coordinate communication between different healthcare service lines to support continuity of care and an efficient patient experience. Fax documentation and correspondence to patients, healthcare facilities, and other appropriate parties. Order, organize, and maintain office supplies. Work collaboratively with the second onsite administrator, Medical Assistants, clinicians, and other members of the healthcare team. Identify workflow or patient-service issues and proactively work toward solutions. Perform additional administrative and operational duties as assigned. Qualifications Previous healthcare administrative, medical office, patient services, or similar experience strongly preferred . Experience working directly with patients and delivering a high level of customer/patient service is a strong plus. Familiarity with Electronic Medical Record (EMR) systems , particularly Epic , is preferred. Strong scheduling, organizational, and multitasking abilities. Excellent verbal and written communication skills. Strong interpersonal skills with the ability to communicate effectively with patients, clinicians, and administrative team members. Ability to manage competing priorities in a busy, multi-service healthcare environment. Proactive problem-solving skills and the ability to recognize needs without always waiting for direction. Comfortable working as part of a sizeable, collaborative onsite team. Professional, courteous, dependable, and patient-focused. Work Environment This position is 100% onsite at the client facility and supports several healthcare service lines available to client employees, including: Primary Care Chiropractic Care Physical Therapy Therapy/Behavioral Health Services Acupuncture Additional onsite health and wellness services The successful candidate will work closely with another onsite administrative team member as well as Medical Assistants and healthcare providers across the various service lines.
