We are specifically looking for someone who has previous experience working in a home care agency or similar healthcare setting and is familiar with the administrative responsibilities involved in coordinating client services and managing employee records. Key Responsibilities Maintain and organize employee and client documentation , ensuring all required records are complete, accurate, and up to date. Assist with employee onboarding , including collecting required employment documents, background study information, training records, and other necessary paperwork. Coordinate and maintain client and employee schedules , including handling schedule changes, call-outs, and staffing coverage. Assist with staffing and recruitment , including communicating with applicants, scheduling interviews, and coordinating new-hire orientation. Coordinate and track employee training, certifications, and required documentation . Communicate professionally with clients, employees, families, case managers, and other members of the care team as needed. Conduct regular follow-ups with employees and clients regarding scheduling, documentation, training, and outstanding requirements. Monitor expiring or missing employee and client documentation and follow up to ensure timely completion. Answer phone calls, respond to emails, and assist with general office communication. Maintain confidential employee and client records in accordance with agency policies and applicable requirements. Assist management with daily administrative operations and other assigned duties. Qualifications Previous experience working for a home care agency, healthcare agency, or similar organization is strongly preferred. Familiarity with home care operations, client services, employee documentation, scheduling, staffing, and compliance requirements . Experience coordinating and communicating with caregivers, direct support staff, clients, and/or case managers. Strong organizational skills with excellent attention to detail. Strong written and verbal communication skills. Ability to manage multiple responsibilities and consistently follow up on outstanding items. Comfortable handling scheduling changes and staffing needs. Proficient with email, Microsoft Office, Google Workspace, and electronic documentation systems. Ability to handle confidential employee and client information professionally. Dependable, professional, proactive, and able to work independently.
