Job Description

Position Summary The Patient Care Assistant plays a vital role in supporting the daily operations of the wellness department by combining patient-facing clinical support with administrative and scheduling responsibilities. This position ensures a smooth, welcoming, and efficient patient experience—from referral intake and scheduling through visit completion and room turnover—while supporting compliance, accuracy, and workflow optimization. The ideal candidate is detail-oriented, patient-focused, and comfortable balancing clinical tasks with administrative coordination in a fast-paced healthcare environment. Key Responsibilities Patient Scheduling & Front-End Support Schedule new and established patients accurately and efficiently, optimizing provider schedules and minimizing gaps. Scrub provider schedules regularly to ensure appropriate appointment placement, correct visit types, and readiness for upcoming clinics. Contact patients regarding referrals, orders, and appointment coordination to ensure timely care delivery. Serve as a point of contact for patients with scheduling questions, pre-visit requirements, and general wellness service inquiries. Patient Rooming & Clinical Support Greet and room patients promptly, ensuring a positive and professional patient experience. Prepare patients for visits by confirming demographics, reviewing forms, and ensuring required documentation is complete. Assist the Wellness staff as needed during patient visits. Turn over exam rooms between patients, ensuring cleanliness, organization, stocking of supplies, and readiness for the next visit. Financial Responsibility & Compliance Create and review Good Faith Estimates (GFEs) in compliance with federal and state regulations. Review and complete patient financial responsibility documentation, including: Advance Beneficiary Notices (ABNs) Oregon Health Plan (OHP) financial responsibility forms Clearly explain financial forms and expectations to patients in a respectful and patient-centered manner. Ensure all required forms are accurately completed, signed, and delivered to the front desk to document in the EMR and have ready at time of patient check-in for required signatures, collection of payment, etc. Referrals, Orders & Follow-Up Call on referrals and provider orders to coordinate patient care and next steps. Track referral status and follow up as needed to prevent delays in care. Communicate effectively with internal team members and external partners to ensure continuity of care. Administrative & Operational Support Answer incoming calls. Maintain accurate and timely documentation within the EMR. Assist with workflow improvements, scheduling efficiencies, and department organization. Support inventory awareness, room stocking, and supply needs as appropriate. Participate in team meetings, training, and process improvement initiatives. Assist with creating, reviewing, or posting social media content that reflects the clinic's brand, supports patient education, and promotes community engagement. Required Qualifications High school diploma or equivalent required; additional healthcare or administrative training preferred. Familiarity with medical scheduling, patient intake, and clinical workflows. Understanding of patient financial responsibility, insurance concepts, and healthcare compliance. Strong organizational skills with the ability to manage multiple priorities. Excellent communication and interpersonal skills with a patient-first mindset. Preferred Skills & Experience Experience in a medical clinic, wellness practice, or healthcare administrative role strongly preferred. Experience working in an EMR system (Athena preferred). Familiarity with ABNs, Good Faith Estimates, and OHP-related documentation. Knowledge of referral management and prior authorization workflows. Comfort working in a fast-paced, team-oriented clinical environment. Physical & Work Environment Requirements Ability to stand, walk, and move between rooms throughout the workday. Ability to turn over exam rooms and assist with light lifting and stocking as needed. Office/clinic setting with regular patient interaction and computer-based work. Other Duties This role may include additional responsibilities as needed to support clinic operations, patient care, and team workflow. Such responsibilities will remain consistent with the role's training, competencies, and professional expectations.
Pay:
$20.14 - $26.38 per hour Expected hours: 40.0 per week
