This position serves as the first point of contact for patients and plays an important role in coordinating appointments, payments, patient communication, and clinical support. The ideal candidate is detail-oriented, comfortable in a fast-paced environment, and able to provide a welcoming and discreet experience while maintaining patient safety, privacy, and professionalism. Responsibilities Greet patients and visitors and provide a professional, welcoming check-in and check-out experience. Answer multi-line phones, respond to inquiries, route calls, and document messages accurately. Schedule, confirm, reschedule, and cancel medical and med spa appointments. Explain appointment preparation requirements, cancellation policies, and general service information within the scope of the position. Verify patient demographics, insurance eligibility, referrals, and required documentation. Collect copayments, deductibles, deposits, package payments, and outstanding balances. Process credit card and other approved payments and provide receipts. Maintain accurate records for med spa packages, memberships, treatments, product purchases, and remaining balances or sessions. Coordinate consultations and follow-up appointments for aesthetic and wellness services. Assist with patient intake, medical histories, consent forms, and treatment documentation. Maintain strict confidentiality when discussing aesthetic, wellness, and medical services. Support product and prescription pickup procedures by verifying identification, documented patient authorization, and payment status before releasing items. Assist providers and clinical staff with room preparation, patient flow, vital signs, and other permitted Medical Assistant duties. Prepare exam and treatment rooms and ensure supplies are properly stocked. Clean and disinfect rooms, equipment, and high-touch surfaces according to established protocols. Document patient information accurately in the EMR/EHR system. Review charts for required forms, consents, signatures, payments, and supporting documentation. Assist with medical billing and coding tasks, including CPT and ICD-10 codes, as assigned. Maintain an organized front desk, waiting area, and patient-facing environment. Communicate delays, schedule changes, patient concerns, and operational issues promptly to the appropriate team member. Follow HIPAA, infection-control, payment, scheduling, and patient-safety policies. Perform additional administrative and clinical support duties as assigned. Qualifications Previous experience in a medical office, specialty clinic, plastic surgery practice, wellness clinic, dermatology office, or med spa is preferred. Medical Assistant certification or diploma Experience with EMR/EHR and appointment-scheduling systems is required. Knowledge of insurance eligibility, Medicare, medical terminology, CPT, and ICD-10 coding is preferred. Experience with med spa scheduling, packages, memberships, retail products, or aesthetic services is a plus. Strong customer service, telephone, written communication, and organizational skills. Professional appearance and ability to communicate with discretion and sensitivity. Ability to multitask, prioritize responsibilities, and remain calm in a fast-paced setting.
