Job Description

Overview We are seeking a dedicated and detail-oriented Back Office Medical Assistant to join our healthcare team. This role is essential in supporting the clinical staff and ensuring smooth operations within our medical facility. The ideal candidate will have experience in various medical settings, including hospitals, clinics, and urgent care environments. A strong understanding of patient care processes and the ability to work effectively in a fast-paced environment are crucial for success in this position.
DUTIES AND RESPONSIBILITIES
  • Greets, receives, and prepares patients for appointments/procedures; conducts interviews with patients, measures vital signs, and records information.
  • Able to travel to all company medical sites for training or office support.
  • Performs routine laboratory/radiology tests and injections or other office procedures on patients as provided by established protocol.
  • Maintains nursing stations and examination areas in a manner consistent with OSHA standards and Universal Precautions procedures.
  • Maintains inventory of medical supplies and materials; receives and logs incoming packages and deliveries accurately and promptly.
  • Receives and screens telephone calls.
  • Maintains accurate patient billing profiles in EMR System.
  • Schedules patient appointments.
  • Coordinates patient flow.
  • Translate medical terminology and documents as needed for effective communication between patients and healthcare providers.
  • Performs additional duties including but not limited to copying checks received and recording payment, faxing information as required.
  • Assists with front-office tasks, when necessary, as assigned by management.
  • Prepares and maintains office/department and patient records.
  • Prepares timely, legible, and complete documentation of all patient care as provided by law, regulation, and established policy.
  • Participates in quality improvement and utilization review activities.
  • Ensure compliance with HEDIS measures (P4P) by monitoring and completing any missing procedures, coordinating with healthcare teams to improve patient outcomes and meet quality metrics.
  • Ensures insurance and pharmaceutical authorizations are submitted on behalf of medical patients.
  • Participates in continuing education to continually improve skills and abilities and stay abreast and compliant with current technologies/practices, state, and insurance regulations.
  • Applies safety principles as identified by established policy.
  • Ensures compliance with legal issues including but not limited to patient confidentiality and risk management; ensures compliance with HIPPA, federal, state, and local regulations.
  • Exhibits a high degree of courtesy, tact, and poise when interacting with patients, families, and other healthcare professionals.
  • Adjusts to fluctuating peaks in patient flow, acuity, and other operational demands while maintaining quality.
  • Maintain a clean and organized workplace facility to ensure a safe and efficient working environment (including but not limited to mopping, sweeping, and scrubbing surfaces).
  • Performs other related duties as assigned by department leads and/or management.
QUALIFICATIONS
  • High school diploma or equivalent.
  • Completion of formal training program as nursing/medical assistant and/or comparable experience in clinical setting.
  • Must possess current CPR certification.
  • Knowledge of medical terminology.
  • Demonstrated competence in reacting to and handling emergencies.
  • Able to work collaboratively with multiple health professionals in a busy and complex environment using tact, diplomacy, and discipline.
  • Ability to understand and adhere to established policies, procedures, and protocols.
  • Strong charting/documentation skills.
  • Ability to effectively communicate with people at all levels and from various backgrounds.
  • Commitment to excellence and high standards.
  • Excellent written and oral communication skills.
  • Strong organizational, problem-solving, and analytical skills.
  • Ability to manage priorities and workflow.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.

  • Bilingual skills a plus.
