Key Responsibilities Patient Experience & Concierge Support Serve as a primary point of contact for Total Vitality patients, delivering responsive, compassionate, and professional communication. Guide patients through digital intake, consent forms, treatment plans, and follow-up processes. Maintain Total Vitality's high standard of hospitality, ensuring every patient feels welcomed, seen, and deeply supported. Manage portal messages, texts, and calls with excellent turnaround time and attention to detail. Reinforce treatment expectations, aftercare instructions, and next steps to support patient confidence and safety. Clinical Responsibilities (Performed under provider supervision and within training/licensure scope) Phlebotomy & Lab Support Perform venipuncture for Total Vitality's hormone, weight-loss, and specialty lab panels. Process and prepare samples (labeling, centrifuging, packaging) according to lab standards. Enter and manage lab orders in LabCorp, or specialty diagnostic portals. Track incoming results, flag urgent findings, and ensure timely provider review. Perform sterilization procedures for surgical instruments. Aesthetic & Hormone Procedure Assistance Prepare treatment rooms, supplies, and devices for neurotoxins, dermal fillers, hormone pellets, and aesthetic technologies. Support providers during procedures with setup, photography, and sterile technique assistance. Perform post-procedure cleanup and prepare the room for the next patient. Perform clinic injections if needed. Prepare syringes for patient pickups. Clinical Documentation Accurately document labs, procedure assists, follow-up visits, and patient interactions in Total Vitality's EMR. Upload treatment photos, update plans, and ensure chart completeness. Uphold HIPAA, OSHA, and aesthetic medical compliance standards. Technical & Operational Support Support Total Vitality's marketing initiatives by sending reminders, patient education messages. Administrative & Clinic Flow Responsibilities Assist with treatment room prepping. Call patient's to do new start check-ins. Support the front desk when needed, including check-in, check-out, payments, and product sales. Ensure Total Vitality's environment remains clean, organized. Participate in team meetings, trainings, and practice-improvement initiatives. Qualifications Medical Assistant training, phlebotomy certification, or clinical experience required - 2+ years phlebotomy desired. Experience in medical aesthetics, regenerative medicine, or wellness clinics is ideal. Strong ability to learn and manage digital systems quickly (EMR/CRM proficiency required). Exceptional communication skills and a polished, hospitality-focused demeanor. Ability to multitask and stay organized in a fast-paced clinical environment.
