Balanced Mental Wellness is an innovative outpatient psychiatric practice in Littleton, Colorado dedicated to providing compassionate, evidence-based mental health care. Our team specializes in medication management, psychotherapy, and ketamine-assisted psychotherapy (KAP), creating an environment where both patients and staff feel supported, respected, and inspired. We're looking for someone who is compassionate, organized, proactive, and excited to become an integral part of a growing practice that truly changes lives.
THE ROLE
You'll work closely with psychiatric providers and interdisciplinary teams that truly know you matter. Every day is different—you'll support patient care, coordinate treatment schedules, assist providers, educate patients, and help create an exceptional patient experience from beginning to end. The ideal candidate enjoys both clinical work and administrative coordination, thrives in a fast-paced environment, and genuinely enjoys helping people through difficult moments.
KEY RESPONSIBILITIES
Complete medication prior authorizations Coordinate laboratory testing and obtain outside records Prepare providers for scheduled appointments by ensuring records, laboratory results, vital signs, and required documentation are available. Process refill requests Prepare treatment rooms Maintain medication and medical supply inventory Clean and organize clinical areas Observe patients for clinical concerns and notify providers promptly of significant findings. Ensure compliance with OSHA, HIPAA, and infection control standards Communicate with specialists, primary care offices, pharmacies, hospitals, and other healthcare organizations. Answer patient questions with warmth and professionalism Respond to portal messages and phone calls appropriately Support patients with compassion while maintaining healthy boundaries Maintain patient confidentiality and HIPAA compliance. Spravato Program Responsibilities Assist providers in administering and monitoring the Spravato treatment program in accordance with
FDA REMS
requirements and Balanced Mental Wellness policies. Assist with Spravato administration under provider direction. Monitor and supervise patients during the required post-administration observation period according to clinic protocols. Obtain and document vital signs before, during, and after treatment as indicated. Observe patients for adverse reactions or clinical changes and immediately notify the supervising provider of concerns. Maintain compliance with REMS program requirements, clinic policies, and safety procedures.
IDEAL CANDIDATE

REQUIRED QUALIFICATIONS
Certified Medical Assistant (CMA, RMA, CCMA, or equivalent) or relevant medical assisting experience Current BLS/CPR certification (or ability to obtain upon hire). Excellent communication skills Strong organizational abilities Computer proficiency Ability to multitask Professional demeanor Reliable attendance
Preferred:
  • Experience in psychiatry or behavioral health.
  • Experience with electronic health records.
  • Prior authorization experience.
  • Familiarity with psychotropic medications.
  • Experience working with insurance companies and pharmacies.

COMPENSATION & BENEFITS
$25-$30 per hour based on experience
