Practice Development Manager Location:
On-site in Urgent Care Schedule Weekday shifts may range from 8 to 12 hours. Weekend shifts are 7 hours. Availability for days, evenings, weekends, and holidays is required. Schedule may vary based on the needs of the practice.POSITION OVERVIEW
We are looking for a skilled, caring, dependable, and multitasking Lead Medical Assistant to join our team at a lower-volume location. The ideal candidate is eager to help the office grow, provide exceptional patient care, support the Medical Assistant team, and ensure our patients have a positive experience. The Lead Medical Assistant is responsible for performing all duties and responsibilities of a Certified Medical Assistant , while also providing additional leadership and operational support to management. This position is a working lead role and is expected to actively participate in both clinical and front-desk operations while helping ensure the Medical Assistant team follows office policies, procedures, clinical protocols, and customer-service standards. The Lead Medical Assistant serves as a key support to management and helps ensure that Medical Assistants are completing their clinical responsibilities correctly and consistently. The Lead Medical Assistant is expected to identify concerns, assist with correcting issues when appropriate, and bring concerns regarding incomplete tasks, improper procedures, policy violations, or recurring performance issues to management's attention. The ideal candidate is hands-on, team-oriented, dependable, proactive, and committed to maintaining excellent patient care, clinical standards, and customer service.LEAD MEDICAL ASSISTANT RESPONSIBILITIES LEADERSHIP, COMPLIANCE & TEAM SUPPORT
Perform all duties and responsibilities outlined under the Certified Medical Assistant role. Support management in maintaining compliance with office policies, procedures, clinical protocols, and operational standards. Help ensure all Medical Assistants are completing clinical tasks correctly, safely, and according to established procedures. Monitor clinical workflows and identify tasks that are not being completed correctly or consistently. Bring incomplete clinical tasks, documentation issues, policy concerns, recurring errors, or other performance concerns to management's attention. Serve as a resource and point of support for Medical Assistants regarding clinical workflows, patient care, and office procedures. Help reinforce proper clinical procedures, infection control practices, documentation standards, and patient flow expectations. Assist management with maintaining accountability and consistency among the Medical Assistant team. Lead by example by maintaining a professional, positive, respectful, and patient-focused attitude. Assist with training and onboarding Medical Assistants as requested by management. Help identify opportunities to improve efficiency, patient flow, teamwork, and overall office operations. Communicate effectively with management regarding staffing, workflow, patient concerns, clinical concerns, and operational needs. Help ensure that opening, closing, clinical, and operational responsibilities are completed appropriately each shift. Maintain confidentiality and professionalism when addressing team performance or patient-related concerns. Escalate issues to management when they cannot be appropriately resolved at the Lead Medical Assistant level.PATIENT EXPERIENCE & CUSTOMER SERVICE
Maintain a high standard of customer service and patient satisfaction throughout every patient interaction. Help ensure patients feel welcomed, respected, heard, and well cared for. Stay attentive to patient concerns and address concerns appropriately and promptly. Help identify and resolve patient service issues before they escalate whenever possible. Communicate delays or changes in patient flow professionally and proactively. Monitor the overall patient experience and bring recurring patient concerns or service issues to management's attention. Help ensure the Medical Assistant team consistently provides friendly, professional, and compassionate service. Maintain a positive and welcoming environment for patients and families. Take ownership of the patient experience and help the team maintain high customer-service standards. Help ensure patients leave the office feeling that they've received excellent care and service.CERTIFIED MEDICAL ASSISTANT RESPONSIBILITIES
The Lead Medical Assistant is expected to perform all clinical, front-desk, administrative, and facility responsibilities of a Certified Medical Assistant , including but not limited to the following:CLINICAL RESPONSIBILITIES
Provide direct patient care including triage, history taking, and documentation. Take and record vital signs, including blood pressure, height, weight, pulse, temperature, and oxygen saturation. Demonstrate knowledge of and perform EKG, Spirometry, and Audiometry testing. Administer vaccines and nebulizer treatments as permitted by applicable policies, procedures, and regulations. Perform phlebotomy and blood draws. Collect, label, process, and prepare laboratory specimens according to established procedures. Assist providers with examinations and clinical procedures. Assist providers with casting procedures. Ensure all lab orders and specimens are processed, tracked, and followed up appropriately. Maintain accurate and complete documentation in the EHR system. Gather and document patient medical history, including family, social, medication, and relevant clinical history. Ensure all clinical quality and meaningful-use measures are properly documented. Prepare exam rooms and ensure appropriate supplies and equipment are available. Room patients efficiently and maintain appropriate patient flow. Notify providers when patients are ready. Communicate delays to patients and families in a professional and courteous manner. Follow infection control procedures and established clinical protocols. Follow all safety procedures and maintain a safe environment for patients, staff, and providers. Assist providers with other clinical procedures and tasks as directed.FRONT DESK & ADMINISTRATIVE RESPONSIBILITIES
Greet and register patients in a professional, friendly, and welcoming manner. Answer phones and assist patients with questions appropriately. Schedule appointments and manage patient flow. Complete patient registration. Verify insurance eligibility and patient information. Collect co-pays, self-pay balances, and outstanding account balances. Post payments and reconcile daily batches. Secure referrals and authorizations when required. Assist with faxing, scanning, filing, and medical records management. Ensure imaging and laboratory reports are received and available for provider review. Assist with patient check-in and check-out processes. Maintain accurate patient demographic and insurance information. Protect patient confidentiality and comply with HIPAA requirements.CLINICAL SUPPORT & FACILITY RESPONSIBILITIES
Maintain cleanliness and organization of exam rooms and equipment. Disinfect exam rooms and equipment between patients according to infection control protocols. Restock clinical and office supplies. Monitor supplies and communicate inventory needs to management. Dispose of medical waste appropriately. Maintain a safe, clean, and organized clinical environment. Coordinate laboratory and imaging reports for provider review prior to visits. Track referrals and diagnostic testing in required logs. Complete required clinical and operational logs. Complete the Opening and Closing Checklist accordingly each shift. Ensure clinical areas are properly prepared at the beginning of each shift and properly secured at the end of each shift. Perform other duties and responsibilities as assigned.QUALIFICATIONS CERTIFICATIONS
Must have Basic Life Support (BLS) Certification. Completion of an accredited medical assistant training program. Nationally Certified CMA or RMA required through one of the following certifications; certification must be current or obtained within 90 days of employment and actively maintained while employed: CCMA — Certified Clinical Medical Assistant (NHA) CMA — Certified Medical Assistant (AAMA) RMA — Registered Medical Assistant (AMT) NCMA — National Certified Medical Assistant (NCCT) NRCMA — Nationally Registered Medical Assistant (NAHP) Recent experience working as a Medical Assistant within the last five years. Previous Lead Medical Assistant or senior-level Medical Assistant experience preferred.SKILLS & COMPETENCIES
