Job Description
The Clinical Administrative Assistant role involves providing administrative and clerical support to the Director of Interdisciplinary Services and other Interdisciplinary Service team associates. Key responsibilities include managing schedules, preparing and maintaining documents, and ensuring confidentiality. Additional duties involve supporting interdisciplinary teams with documentation, facilitating communication, and overseeing office operations, including ordering supplies and managing records. The position also requires assisting with child and family services, ensuring materials and resources are organized, and handling general receptionist duties such as answering calls and greeting visitors. Strong communication, teamwork, and interdepartmental collaboration are essential for success in this role. Qualifications (Education, Training and Experience) Bachelor's Degree required . Strong computer and office skills required. Excellent verbal and written skills required. 3-5 years of record/audit experience and/or administrative experience required. Job Duties/Essential Functions Provide administrative support to the Director of Interdisciplinary Services and/or other department designated staff to include, but not limited to: coordination, communication, typing, filing, meeting schedules, preparation and maintenance of calendars/schedules while using discretion and expertise to protect health information. Complete Interdisciplinary Treatment Team (ITT) meeting clinical documentation when assigned including, but not limited to: gathering treatment team recommendations from individuals not attending the meeting, set up, take and finalize ITT meeting minutes, prepare/send memos to remind team members when recommendations are due and attend to follow up tasks as assigned. Coordinate scheduling for meetings when assigned, prepare and distribute necessary materials including templates for meetings and other items, take minutes and participate as requested. Assist and support the Director of Interdisciplinary Services with reporting and projects as needed. Ensure Child and Family Services common areas remain organized and fully stocked with necessary materials. Complete purchase orders for office supplies and other materials monthly. Facilitate off-site storage for all residential and education programs and engage with outside vendors for services related to records maintenance and destruction in accordance with KidsPeace policy. Attend to general receptionist duties including: managing incoming and outgoing phone calls, assisting and supporting those who contact the Director's office by providing and maintaining positive public relations, including greeting visitors to the building.
