Medical Assistant Front and Back Office Job Description This role combines both clinical and administrative responsibilities to support high-quality patient care in a fast-paced medical setting. The medical assistant works in both the front and back office, providing direct patient care, managing communications, supporting financial processes, and ensuring a welcoming and efficient experience for patients and visitors. Responsibilities Provide both front office and back office support, including patient care and administrative duties. Receive and direct all communications courteously and consistently, ensuring phone calls are answered promptly and routed appropriately. Adhere to HIPAA guidelines and office policies at all times to protect patient privacy and confidentiality. Greet patients and visitors in a prompt, courteous, and helpful manner, maintaining a friendly and professional demeanor. Engage with patients and visitors by smiling, making direct eye contact, and creating a welcoming environment. Assist patients with the sign-in process and respond promptly to their needs and questions. Support financial responsibilities by staying current on reimbursement and billing procedures. Accurately verify information on the Audit Journal and ensure all financial data is complete and correct. Prepare bank deposits and credit card batches, and sign and date completed daily cash receipts. Monitor general office supply inventory and equipment, coordinating with team members to understand and fulfill their supply needs. Follow sterile processing and decontamination procedures, including instrumentation handling, sterilization, tray assembly, and case cart preparation, as required by the role. Apply knowledge of sterile processing standards and best practices in support of safe patient care. Demonstrate a strong sense of accountability for improving the lives of patients and their caregivers. Collaborate effectively with team members, showing an exceptional focus on teamwork and communication. Participate in ongoing education and training to maintain and enhance clinical and administrative skills. Deliver high-quality care with a strong patient focus, ensuring safety, comfort, and respect for all patients. Travel to various locations as needed to support operations and patient care. Essential Skills Experience in both patient care and front office operations in a healthcare setting. Strong communication skills, with the ability to receive, direct, and manage calls and in-person inquiries courteously and efficiently. Knowledge of and adherence to HIPAA guidelines and office policies. Demonstrated ability to greet and interact with patients and visitors in a professional, friendly, and welcoming manner. Experience assisting patients with check-in and sign-in processes. Understanding of reimbursement and billing procedures and the ability to support financial workflows. Ability to accurately verify information on financial and administrative documents such as Audit Journals. Proficiency in preparing bank deposits, credit card batches, and daily cash receipts with high accuracy. Experience monitoring office supply inventory and coordinating with team members to maintain adequate stock. Knowledge of sterile processing, instrumentation, sterilization, decontamination, tray assembly, and case cart preparation. Familiarity with sterile processing certifications and standards, including CRCST and related practices. Certified Medical Assistant (CMA) credential. High school diploma or equivalent. Minimum of 1+ year of relevant experience, or a strong hospital externship as an equivalent. Ability to learn quickly and adapt to changing patient needs. Strong sense of accountability and commitment to improving patient and caregiver experiences. Demonstrated dedication to teamwork and collaboration. Commitment to ongoing education and continuous improvement. Ability and passion to deliver the highest quality of patient-focused care. Ability to travel to various locations as required. Additional Skills & Qualifications CRCST or related sterile processing knowledge and exposure to sterile processing technician responsibilities. Experience working with case carts, tray assembly, and instrumentation in a clinical environment. Prior experience in a hospital or large healthcare system, including externships. Strong customer service orientation with a focus on patient satisfaction. Comfort working in a large, multi-specialty healthcare facility with opportunities for growth. Pay and Benefits The pay range for this position is $18.00 - $21.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
