Medical Assistant / Office Manager Revitalize healthcare by giving independent providers the autonomy, flexibility, and innovative support to operate dynamic practices while delivering exceptional patient care and operational excellence. This is a dual Medical Assistant and Office Manager role combining hands-on clinical support, patient and client service, administrative coordination, and day-to-day office operations. The right person will be comfortable transitioning between clinical and administrative responsibilities based on the needs of the office. On any given day, this may include supporting a provider and assisting with patient care, coordinating office operations, managing schedules and workflow, communicating with clients and vendors, or helping leadership solve an operational issue. The Role The ideal candidate will provide high-quality Medical Assistant support while helping manage the daily operations and professional atmosphere of the office. The best ability is availability. Dependable attendance, responsiveness, flexibility, and reliability are essential to success in this position. Travel between office locations is an expected part of this role. Travel needs may vary based on operational and staffing needs. Primary ResponsibilitiesMedical Assistant & Clinical Support Support healthcare providers with day-to-day patient care and clinical workflow Prepare examination and treatment areas for patient visits Room patients and assist with intake and documentation as appropriate Obtain and record patient information and vital signs as required Assist providers during examinations and procedures within the employee's training and permitted scope of practice Maintain clean, organized, and properly stocked clinical areas Monitor clinical and medical supply inventory and communicate replenishment needs Support patient communication, scheduling, follow-up, and care coordination Maintain patient confidentiality and follow applicable privacy, safety, and organizational requirements Assist with additional clinical and patient-support responsibilities appropriate to the position, training, and scope of practice Patient, Client & Concierge Experience Serve as one of the primary faces and voices of MedCoShare Deliver a warm, professional, concierge-style experience for patients, clients, guests, providers, and business partners Build positive relationships and contribute to a welcoming office atmosphere Maintain composure and professionalism in fast-paced situations Help ensure patients and clients feel valued, informed, and confident in their experience Respond professionally and promptly to questions, concerns, and changing needs Office Management & Operations Help manage and oversee day-to-day office activity and workflow Provide front desk coverage when necessary and coordinate patient and office flow Maintain organized, presentable, clean, and professional workspaces Track office and clinical inventory and coordinate supply needs Maintain office schedules, calendars, meetings, appointments, and events Assist with invoice processing, spreadsheets, reporting, and operational tracking Coordinate communication among providers, patients, clients, vendors, staff, and leadership Identify office issues and work proactively to resolve or escalate them Support office cleanliness, organization, and operational standards Help ensure company procedures and workflows are followed consistently Sales & Business Support Support introductory client conversations and business development efforts when needed Communicate MedCoShare's mission, services, and value proposition confidently and professionally Assist leadership in nurturing prospective and existing client relationships Provide administrative and organizational support for networking, events, and client outreach initiatives Help maintain professional communication and follow-up throughout the client relationship process Organizational Growth Support Demonstrate flexibility and willingness to assist with evolving business and clinical needs Learn new systems, workflows, and operational processes Assist leadership with projects supporting company expansion and operational growth Travel between office locations to provide clinical, administrative, or operational support as needed Help identify opportunities to improve patient experience, provider support, office efficiency, and organizational standards Contribute positively to company culture and team collaboration Experience & Requirements Medical Assistant education, training, certification, or relevant clinical experience Strong verbal and written communication skills Positive, energetic, and professional demeanor Excellent multitasking and organizational abilities Strong patient care, customer service, and relationship-building skills Ability to balance clinical responsibilities with administrative and operational duties Ability to work independently while functioning effectively as part of a team Technology savvy and comfortable learning new systems Comfortable using Microsoft Office, Google Workspace, and general office technology Professional appearance and presentation Ability to remain composed and efficient in a fast-paced environment Open-minded, adaptable, and willing to learn Dependable attendance and punctuality are mandatory Reliable transportation and willingness to travel between office locations as required Willingness to assist outside traditional responsibilities when reasonably needed to support patients, providers, office operations, and company growth Preferred Qualifications Previous Medical Assistant or clinical support experience Previous office management, healthcare administration, or supervisory experience Experience in a medical practice, outpatient facility, healthcare organization, or other patient-facing environment Experience with electronic health record or practice management systems Previous client-facing or concierge-style experience Experience in sales support, relationship management, or professional office environments Fluency in Spanish preferred Associate's or Bachelor's Degree in Healthcare Administration, Public Health, Business, Communications, or a related field preferred Compensation Pay is offered on a sliding scale based on the candidate's relevant Medical Assistant experience, office management experience, education, certifications, and overall qualifications. Specific compensation will be discussed during the interview process and will reflect the candidate's ability to successfully perform both the clinical and operational responsibilities of the position. Travel Requirements Travel between MedCoShare office locations is expected and is an essential component of this position. Travel frequency will vary based on staffing, provider schedules, operational priorities, and organizational needs.
