The Schwartz Aesthetic Institute | Westlake Village, CA We are seeking a dependable, flexible, and highly organized Front/Back Office Medical Assistant Floater to join our growing plastic surgery and medical aesthetics practice. This is a hybrid position designed for someone who enjoys variety and is comfortable transitioning between front office responsibilities and clinical back-office support. The ideal candidate is a team player who can recognize where support is needed, adapt quickly, and help keep both the patient experience and daily operations running smoothly. Position Overview The Medical Assistant Floater will provide support across our plastic surgery clinic and medical spa, assisting at the front desk as needed while also performing basic Medical Assistant duties in the clinical setting. Because this position supports multiple areas of the practice, reliability, flexibility, professionalism, and a willingness to help wherever needed are essential. Responsibilities Front Office / Patient Experience Greet and check in patients in a warm and professional manner Assist with patient check-in and check-out Answer and route incoming phone calls Assist with appointment scheduling and general patient inquiries Support both the medical spa and plastic surgery front desks Maintain an organized, polished, and welcoming reception environment Assist other departments during high-volume periods Provide an elevated level of customer service consistent with a luxury aesthetic practice Back Office / Clinical Support Room patients and prepare examination and treatment rooms Obtain and document basic patient information and vital signs as needed Take standardized before-and-after clinical photographs Prepare patients for consultations, follow-up visits, and procedures Chaperone patient examinations when appropriate Assist and scribe for our plastic surgeons during consultations and follow-up appointments Maintain clean, stocked, and organized patient rooms Assist clinical staff with basic Medical Assistant responsibilities within scope Follow established HIPAA, patient privacy, and clinical protocols Qualifications Medical Assistant training/certification preferred Previous experience in a medical office, plastic surgery, dermatology, or medical aesthetics setting preferred Comfortable working in both front and back office environments Strong communication and interpersonal skills Professional appearance and demeanor Excellent attention to detail and organizational skills Comfortable with computers, scheduling systems, and electronic medical records Ability to multitask and transition between responsibilities throughout the day Experience with clinical photography and/or medical scribing is a plus Strong understanding of patient confidentiality and HIPAA Who We're Looking For This position is ideal for someone who is: Dependable — someone the team can consistently count on Flexible — comfortable moving between the front desk, med spa, and clinical areas based on the needs of the practice Proactive — able to recognize what needs to be done without always waiting for direction Team-oriented — willing to step in and support coworkers when needed Professional and personable — able to communicate confidently with patients, providers, and team members Detail-oriented — especially when handling patient information, photography, documentation, and scheduling Calm under pressure — able to maintain professionalism in a busy, fast-paced aesthetic practice Why Join Our Team?
