Administrative Assistant — Specialized Medical Practice Part-Time | 25+ hours/week | $25-$32/hour, depending on experience We are seeking an organized, dependable, and personable Administrative Assistant to join a small, highly specialized medical practice focused on the treatment of eating disorders. This is an excellent opportunity for either an experienced medical administrative professional or a pre-medical student/recent graduate who is interested in gaining meaningful experience in a private medical practice. The ideal candidate is bright, highly organized, comfortable communicating with patients and families, and able to manage multiple priorities with professionalism and attention to detail. The position will begin with primarily administrative responsibilities, with the opportunity to take on increasing responsibility over time.
Responsibilities will include:
Responding to new patient inquiries and helping prospective patients and families navigate the intake process Answering and triaging incoming phone calls and messages Creating and maintaining patient charts Sending and tracking new-patient paperwork Scheduling appointments and coordinating follow-up visits Managing patient and parent communications Assisting with treatment-team communication and coordination Processing prescription refill requests for physician review Communicating with pharmacies Obtaining outside medical records, laboratory results, and hospital records Processing prior authorizations for medications and procedures Assisting with referrals to therapists, dietitians, specialists, treatment programs, and hospitals Coordinating hospital follow-up appointments and other transitions of care Preparing charts and ensuring needed information is available before appointments Maintaining accurate and organized information within the electronic medical record Providing general administrative and organizational support to the physician and practice As the candidate becomes familiar with the practice, there will be an opportunity to assume additional care-coordination and practice-management responsibilities currently handled by the Nurse Clinic Manager. Pre-medical or healthcare-focused:
A pre-med student, post-baccalaureate student, or recent college graduate considering a career in medicine or another healthcare profession who would value substantial exposure to the day-to-day workings of a specialized medical practice. OR 2.
Experienced medical administration:
An experienced medical administrative assistant, medical office coordinator, or practice administrator who is comfortable independently managing the administrative needs of a busy physician practice. Qualifications Excellent organizational skills and exceptional attention to detail Strong written and verbal communication skills Professional, warm, and comfortable interacting with patients and families Ability to handle sensitive and confidential information appropriately Ability to prioritize tasks and follow through reliably Comfortable working independently in a small-practice environment Strong computer and technology skills Familiarity with electronic medical record (EMR/EHR) systems Prior experience in a medical or mental-health setting is strongly preferred but not required for an exceptional candidate Interest in eating disorders, adolescent medicine, mental health, or behavioral health is a plus Schedule & Compensation Minimum 24 hours per week Potential for additional hours as the position develops $25-$32/hour , depending on experience and qualifications This position is particularly well suited to someone who enjoys being an integral part of a small practice rather than one person within a large medical organization.
