About Us We are a rapidly growing medical spa and wellness clinic in Webster, TX. Operating on an exclusive, appointment-only basis, we deliver high-end, personalized aesthetic and wellness transformations. We are looking for an exceptional, multi-talented Hybrid Medical Assistant & Patient Care Coordinator to serve as the vital right hand to our lead provider and the solo face of our front office. Position Overview This is not a traditional back-office medical assistant role. You will bridge the gap between clinical excellence and luxury hospitality. As our sole support staff member, you will own the entire patient journey—from the moment they book an appointment to their clinical intake, blood draw, room turnover, checkout, and post-care follow-up. The ideal candidate is an entrepreneurial, meticulously organized professional who thrives in an intimate, high-vibe boutique environment. Key Responsibilities Clinical Support & Patient Care (Back Office)
Phlebotomy Excellence:
Perform safe, precise, and comfortable blood draws for routine laboratory wellness panels and advanced aesthetic treatments (e.g., PRP therapies).
Intake & Prep:
Lead patient clinical intakes, document medical histories accurately, prepare treatment rooms, and assist the provider during procedures.
Room Turnover:
Maintain strict sanitation and safety protocols, executing rapid and flawless room turnover between appointments.
Inventory & Compliance:
Monitor clinical supplies, manage lab shipments, and ensure compliance with Texas medical delegation guidelines. Guest Experience & Practice Operations (Front Office)
First Impression:
Welcome patients warmly, managing the luxury flow of an exclusive, appointment-only schedule.
Concierge Scheduling:
Manage the booking software, coordinate appointments, optimize the provider's daily schedule, and proactively handle waitlists.
Checkout & Sales:
Execute seamless patient checkouts, process payments, and confidently educate clients on retail skincare products and treatment packages.
Relationship Management:
Manage client communications via phone, text, and email, handling prompt appointment reminders and post-treatment follow-ups.
Qualifications & Skills Certification:
Certified Medical Assistant (CMA, RMA, or CCMA) required.
Phlebotomy:
Current Phlebotomy Certification with a minimum of 1 year of proven, comfortable venipuncture experience.
Experience:
1-2+ years of experience in a medical spa, dermatology, plastic surgery, or high-end wellness environment is highly preferred.
Software Savvy:
Proficiency with med spa Electronic Medical Records (EMR) and scheduling software (e.g., Boulevard, Zenoti, Mindbody, or Aesthetic Record).
Attributes:
Exceptional multitasking abilities, high emotional intelligence, flawless verbal communication, and a strong passion for the aesthetics/wellness industry.
Pay:
$20.00 - $22.00 per hour
