Blue Ridge Ophthalmology, a four-physician medical practice in Charlottesville, Virginia, specializing in providing top quality eye care, is seeking a motivated, reliable individual for a full-time position as Medical Office Administrative Assistant.
DUTIES/RESPONSIBILITIES 1
) The primary responsibility for this position is to work at the front desk of the practice, usually along with other employees.
These duties include:
ð Checking in arriving patients: obtaining and/or updating health insurance information, having patients complete relevant forms, and placing patient chart in the appropriate slot for the technician. ð Answering the telephone: making appointments, taking messages, answering general questions about the practice, and referring patient questions about ophthalmic conditions to the appropriate technician or physician. ð Checking out departing patients: Collecting insurance co-pays, filing the billing sheet appropriately, replacing the chart, and making follow-up appointments. 2) Standard office skills and procedures: Typing/keyboarding, making copies, sending faxes, filing, and keeping track of office supplies. Knowledge of and experience with Microsoft Word and Excel very helpful. 3) Data entry. Between patients, and on days with few scheduled patients, the receptionist may also be asked to scan medical information from old paper charts into the electronic medical record, assist in updating contact lens files, and mail prescriptions and other information to patients. 4) As the employee becomes familiar with the specifics of an ophthalmic medical practice, duties may eventually include assisting with electronically filing medical claims. Opportunities for continuing education in the form of attending half-day or day-long coding seminars may also be available. 5) Miscellaneous duties. Blue Ridge Ophthalmology has a small staff and flexibility with regard to duties and responsibilities, as well as the ability to multi-task, is greatly valued. Front office employees also have the potential to become ophthalmic technicians and other positions in the office . HOURS The Medical Office Administrative Assistant is a full-time position with standard hours, Monday through Friday, 8:30am - 5:30pm with a 1-hour lunch. However, depending on patient and other staff needs, some flexibility may be necessary. After 1 year of permanent employment (the 3-month "probation period" plus an additional 9 full-time months) employees may have the option of working a slightly longer day (40 additional minutes) in exchange for one week-day off every two weeks. The specific "off-day" (for example, every other Tuesday) must be approved by the physicians and direct supervisor. 1) The position is available currently. 2) The first three months from the prospective employee's start date constitute a probationary period. At the conclusion of this period, the physicians and supervisor will meet with the prospective employee for an evaluation. If no serious or insurmountable issues have arisen during the probationary period, and all agree that the employee is a "good fit" for the practice, then the prospective employee will be offered a permanent position. 3) Termination may occur at any time for unethical conduct, illegal activity, or other serious offenses that adversely affects the practice. 1) The Medical Office Administrative Assistant position starts with a gross salary at the rate of $37,000 annually, to be paid in the form of bimonthly payments. After completion of the three-month probationary period, if permanent employment is offered the salary will increase to $37,500 annually ($18/hr). 2) A total of approximately 18 days of paid leave (vacation and sick leave) per year (paid days off accrue at about 1.5 days per month initially). No paid vacation/sick leave days during the probationary period. 3) A retirement plan (SEP-IRA) through Fidelity Investments (after one year of employment). 4) Health insurance through Anthem. 5) Blue Ridge Ophthalmology will sponsor employees to attend appropriate seminars and conferences pertaining to technical skills, medical coding, and other related areas. 6) Employees may be able to move into other positions in the Practice, such as ophthalmic technician, if interested and if the positions are available. 1) Amy Proffitt, Assistant Office Manager/Surgery Coordinator, will be the direct supervisor of this position. 2) Free eye care (examination, prescription, and contact lenses) is included in the position. 3) Blue Ridge Ophthalmology does not discriminate on the basis of race, color, religion, sex, age, national origin, sexual orientation, gender identity, disability, or any other basis of discrimination prohibited by law.
