This position is in-office at Falls Church Virginia Monday thru Friday (8:30AM to 5:00 PM).
Job Summary:
We are seeking a highly organized and bilingual (Spanish and English) Administrative Assistant to join our medical office team in Falls Church, Virginia. This role is essential in providing administrative support within a fast-paced healthcare environment, ensuring smooth operations and 5-star customer service. The ideal candidate will possess strong computer skills, experience building and maintaining positive customer relationships, and bring prior-experience from medical administrative role(s). Your primary responsibilities will include managing patient interactions (primarily over the phone), coordinating patient orders for signature, and maintaining strong organization of all responsibilities. Duties Greet patients and their families warmly over the phone and help coordinate client schedules and medical updates with our team of Scheduling Coordinators and RN Case Managers. Manage phone communications with professionalism, answering inquiries and directing calls efficiently. This includes communication via text, email, and fax. Assist with medical documentation faxing to obtain physician signature on orders, ensuring accuracy and completeness of patient records. This will require attention to detail, and the ability to build and maintain a tracking system. Utilize KanTime (out Electronic Health Record) to upload and save signed orders and client documents. Maintain organized filing systems for medical records and ensure secure handling of sensitive health information. This role will interact with patient medical information and includes HIPAA training. Requirements Prior experience as an Administrative Assistant or similar healthcare administrative support role. Bilingual proficiency in Spanish and English is required to effectively communicate with our diverse patient population. Understanding of HIPAA regulations and clinical confidentiality policies (will be reviewed in training upon hire). Strong computer skills with proficiency in Google (Gmail, Sheets, Docs) and health information management software for saving, downloading, and uploading client records. Excellent organizational skills with attention to detail in documentation review and data entry tasks. Ability to provide outstanding customer service while maintaining professionalism under pressure. Ability to multitask efficiently in a fast-paced environment while adhering to office protocols.
