Job Description
Exotic Pet Vets | Arizona Exotic Pet Vets is an employee owned, exotics exclusive veterinary hospital and is looking for an experienced Office Manager to join our leadership team. The Office Manager is the primary operational leader on-site and plays a critical role in ensuring the hospital runs efficiently while providing an exceptional experience for our patients, clients, and team. We are looking for a leader who is organized, accountable, compassionate, and confident making decisions in a fast-paced environment. The ideal candidate will lead by example, communicate effectively, hold the team accountable, and proactively identify opportunities to improve hospital operations. What You'll Do Oversee daily hospital operations, including reception, scheduling, appointment flow, and client management. Ensure the team follows company SOPs and service standards. Coordinate facility maintenance, equipment needs, IT issues, and hospital systems. Manage inventory, ordering, and supply levels. Complete weekly bank deposits. Monitor and analyze hospital KPIs and present performance data during weekly leadership meetings. Help maintain an organized, clean, efficient, and professional hospital environment. Lead & Develop the Team Supervise support staff and create a culture of accountability, teamwork, and excellent patient and client service. Build and maintain staff schedules while ensuring appropriate coverage and responsible payroll management. Train, onboard, mentor, and develop team members. Lead morning meetings and monthly staff meetings. Track weekly, monthly, and yearly staff measurables. Partner with the Practice Manager on performance reviews and addressing performance or behavioral concerns. Facilitate conflict resolution and respond to staff concerns fairly and professionally. Build team morale through recognition, engagement initiatives, and company programs. Champion the Client & Patient Experience Help ensure every patient receives high-quality care and every client receives compassionate, professional service. Coach team members on client interactions and service expectations. Resolve routine client concerns and complaints, escalating issues when appropriate. Monitor client feedback and reviews and identify opportunities to improve the client experience. Support Administrative & Compliance Needs Assist with payroll, timecard accuracy, and payroll submission. Maintain accurate staff, inventory, and operational records. Create and update client and patient records. Maintain medical records, reminders, and callbacks. Ensure hospital operations remain compliant with applicable state and federal regulations. What We're Looking For Proven leadership and staff management experience. Strong organizational and time-management skills with the ability to manage competing priorities. Excellent communication, interpersonal, and conflict-resolution skills. Ability to remain professional and composed in challenging or high-pressure situations. Strong problem-solving skills and a proactive approach to improving operations. Ability to inspire, motivate, coach, and hold team members accountable. Commitment to exceptional patient care and client service. Experience with Veterinary Practice Management Software, Microsoft Office, and basic reporting . Ability to effectively manage hospital operations and administrative processes.
