The Practice Manager will own daily operations, team accountability, financial discipline, provider performance support, patient experience, and execution of the practice's strategic priorities. This is a true leadership position—not simply a front-desk or office-management role. Your leadership will allow our Owner and Clinical Director to focus on clinical excellence, brand development, strategic partnerships, innovation, and business growth.

The Role Responsibilities:

Business and Financial Performance Manage the practice toward approved revenue, profitability, labor, and expense goals. Maintain a reliable weekly leadership scorecard. Monitor collections, schedule utilization, consultation conversion, rebooking, provider goal attainment, retail performance, labor, inventory, and controllable expenses. Identify performance gaps and implement measurable corrective-action plans. Evaluate promotions and operational decisions for profitability—not revenue alone. Partner with the Owner and CFO team on budgets, forecasts, compensation planning, and financial safeguards. Team Leadership Lead, coach, and hold team members accountable to clearly defined responsibilities and KPIs. Conduct consistent 1:1 meetings, performance reviews, and development planning. Address performance or conduct concerns promptly, fairly, and professionally. Coordinate staffing, coverage, onboarding, training, and cross-training. Develop emerging team leads without losing clear leadership accountability. Create a culture of ownership, follow-through, respectful communication, and high standards. Provider and Schedule Performance Monitor provider productivity, available capacity, schedule utilization, consultation conversion, rebooking, and goal attainment. Partner with providers to address gaps in productivity, workflows, patient retention, or schedule performance. Support provider onboarding and integration. Ensure staffing and scheduling decisions appropriately support patient demand and approved labor targets. Patient Experience Protect a warm, elevated, consistent patient experience across every touchpoint. Monitor retention, rebooking, reviews, response times, and complaint resolution. Resolve escalated patient concerns using sound judgment, empathy, documentation, and appropriate boundaries. Identify recurring service concerns and correct the underlying process. Operations and Execution Ensure workflows, policies, systems, and SOPs are followed consistently. Oversee inventory controls, vendor coordination, reporting accuracy, and operational readiness. Maintain appropriate coordination around healthcare regulations, employment practices, privacy, safety, and documentation. Own quarterly priorities from planning through completion. Bring the Owner clear information, thoughtful recommendations, and proposed solutions—not unresolved operational problems. How Success Will Be Measured Performance will be evaluated across five balanced areas: Profitable revenue and collections Labor and expense control Patient retention and experience Team execution and accountability Strategic-priority completion and operational reporting The performance bonus is not automatic and is not earned solely through revenue growth. It is based on balanced, sustainable results and is payable only when approved profitability and cash safeguards are met. What We Are Looking For Four or more years of progressive practice-management or comparable operational-leadership experience Experience leading a multi-provider healthcare, aesthetics, wellness, dental, dermatology, plastic-surgery, or elective-service practice strongly preferred Demonstrated responsibility for team leadership, KPIs, labor management, budgets, expenses, and business performance Strong financial and operational judgment Experience conducting 1:1s, performance reviews, coaching, and corrective action Ability to interpret data, identify root causes, and execute solutions Excellent communication, discretion, organization, and follow-through Confidence working with providers, employees, patients, vendors, ownership, and financial advisors Comfort operating in a growing, entrepreneurial environment Working knowledge of medical-practice systems and applicable employment, privacy, and safety requirements The Right Leadership Style You may be an excellent fit if you: Are warm and approachable while maintaining clear standards Follow through without requiring repeated reminders Remain composed during difficult conversations Use data and sound judgment to make decisions Understand the difference between activity and measurable results Can create structure without creating unnecessary bureaucracy Are willing to be hands-on while remaining focused on leadership Take ownership and communicate concerns early Respect the Owner's clinical and strategic authority while confidently managing delegated operations About Aesthetically Pleasing Medical Spa Aesthetically Pleasing Medical Spa is an established, woman-owned aesthetics and wellness practice serving the Encinitas community for more than 20 years.
