Our practice currently has one full-time physician and one part-time nurse practitioner, with several medical assistants and an in office biller. We pride ourselves in delivering personalized, compassionate, and comprehensive medical care to our community. We consider our patients and staff as our extended family and are looking for a qualified, personable, motivated, and knowledgeable individual for our assistant office manager. We are open to evaluating candidates for this position as either part/full time work schedule. Duties of the Assistant Office Manager position include: Responsible for day-to-day operation of the office including supervision of medical office team, of patient scheduling, registration, medical records, billing and collection, data entry and processing, as well as cash posting Promoting excellent customer service by all levels of the staff, develop, implement, and maintain office policies and procedures, hire, and train a productive medical office team and conduct performance reviews Attending scheduled meetings with payors such Hill Medical Group or Sutter Independent Physicians Group and others Helping with growth of the practice through special projects and outreach Responsible for payroll and managing employee hours Ensuring patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences Ensuring regulatory compliance with HIPAA, OSHA, labor laws, and other federal, state, and local regulations Coordinating staff meetings for administrative and clinical staff Responsible for facility cleaning, hygiene, safety, and maintenance. Overseeing medical waste removal to be in compliance with regulatory requirements Keeping track of equipment and devices, and manage inventory Ability to function well under stressful situations Initiative-taking and continuous process improvement to ensure efficient clinic operations
Knowledge, Skills, Abilities, and Requirements:
Minimum of 2 years working in a medical office setting At least 2 years working in a supervisory or management position Knowledge and experience in billing Knowledge of regulations related to Medicare, Medicaid, and commercial insurance Medical assistant certification or experience Experience obtaining authorizations for services and medications Human resources experience in hiring, supervision, and performance reviews Knowledge of HIPAA and labor law Strong customer service skills Skill in writing policies and procedures Skill in using healthcare software and computer systems (ideally Sutter EPIC) Knowledge of maintaining supplies and equipment for the medical setting Multitasking skills Problem-solving skills Professional communication and presentation skills, including face to face, email, telephone, and video conference Knowledge of continuous process improvement concepts and practices Ability to communicate professionally with clinicians, nurses, allied health staff, administrative staff, frontline staff, contractors, governmental agencies, insurance payers, patients, family members of patients, suppliers, and the public of all age Knowledge of QuickBooks, Microsoft Office, Apple applications, Google Drive, and web-based applications is necessary Knowledge of Sutter
EPIC EMR
The following are not requirements, though highly favorable traits, and skills: Knowledge of business and accounting processes, ideally with an Associates or Bachelor's degree in business administration, Accounting, or Health Care Administration.
Expected Salary:
Salary will vary based on years of experience and education. Generally, between $18- $22 per hour Full-time position Health, dental, and vision insurance (with employee contribution) Retirement benefits Two weeks paid vacation annually All highly motivated applicants with relevant experience are encouraged to apply.
