Job Description

We are seeking an experienced, energetic, and highly accountable Dental Practice Manager to lead the day-to-day operations and growth of our dental practice. This is not simply an administrative office manager position. We are looking for someone who thinks like an operator: someone who understands how all areas of a dental practice work together and can take ownership of the practice's performance, patient experience, team, and continued growth. The ideal candidate is proactive, organized, numbers-driven, and comfortable taking initiative. You should be someone who doesn't wait to be told what needs to be fixed. You recognize opportunities, identify problems early, develop solutions, and follow through.
What You'll Do:
Practice Growth & Performance Take ownership of the overall growth and performance of the practice. Develop and execute strategies to increase new patient volume and practice revenue. Monitor new patient leads and ensure timely follow-up and conversion. Improve patient retention, reactivation, and recall systems. Identify opportunities to increase treatment acceptance and reduce unscheduled treatment. Develop relationships within the local community and identify opportunities for referral and community partnerships. Work with marketing partners to evaluate campaigns, lead sources, and ROI. Monitor the schedule to identify opportunities for growth and improve provider and hygiene utilization.
Day-to-Day Practice Operations:
Oversee the daily operations of the practice and ensure the office runs efficiently. Manage scheduling, patient flow, staffing, and operational priorities. Identify workflow problems and implement practical solutions. Develop, document, and maintain SOPs and ensure consistent execution by the team. Ensure strong communication and handoffs between the front office and clinical teams. Maintain appropriate staffing levels based on patient volume and practice needs. Proactively address operational issues before they affect patients, providers, or the schedule.
Team Leadership:
Lead, coach, and hold team members accountable for performance and expectations. Create a positive, professional, and patient-focused culture. Conduct regular team meetings, individual check-ins, and performance reviews. Participate in recruiting, interviewing, hiring, onboarding, and training. Establish clear roles, responsibilities, and performance expectations. Address performance or behavioral concerns promptly and professionally. Identify opportunities for team development and ongoing training.
Patient Experience:
We want every patient interaction to reflect the quality of care we provide.
The Practice Manager will:
Ensure patients receive exceptional service from their first phone call through completion of treatment. Monitor patient communication and ensure calls, messages, and inquiries receive timely responses. Resolve patient concerns professionally and appropriately. Continuously evaluate the patient experience and identify opportunities for improvement. Help create an environment where patients feel known, cared for, and confident in their treatment. Financial & Business Operations Understand and monitor the financial performance of the practice. Track production, collections, adjustments, accounts receivable, and other key financial indicators. Monitor provider and hygiene production. Oversee insurance verification, claims follow-up, patient balances, and collection processes. Review expenses and identify opportunities to improve operational efficiency. Manage vendors and help control supply and operating costs. Work with ownership to establish budgets, performance goals, and growth initiatives. KPIs & Accountability This is a results-oriented position. The Practice Manager should be comfortable working with numbers and using data to make decisions.
Key metrics may include:
New patient volume New patient conversion Production and collections Treatment acceptance Hygiene reappointment Patient retention and reactivation Unscheduled treatment Accounts receivable Schedule utilization Cancellation and no-show rates Provider productivity Labor and operating expenses Patient reviews and satisfaction You don't need someone else to tell you that a number looks wrong—you investigate it, understand why, and develop a plan to improve it. What We're Looking For Previous dental practice management or significant dental operations experience strongly preferred. Strong understanding of dental practice operations, scheduling, insurance, treatment coordination, and revenue cycle. Demonstrated ability to grow a practice or improve business performance. Strong leadership and people-management skills. Comfortable managing and holding a team accountable. Financially and operationally minded. Comfortable reviewing reports and KPIs and translating them into action. Excellent organization and follow-through. Strong written and verbal communication skills. Comfortable learning and using dental practice management software and other technology. Able to manage multiple priorities without losing attention to detail. Professional, dependable, and solutions-oriented. The Person We're Looking For We are looking for someone who takes ownership . When the schedule has openings, you don't simply point them out—you work with the team to fill them. When new patient numbers decline, you investigate why. When patients aren't scheduling diagnosed treatment, you look at the process and determine where we're losing them. When a system isn't working, you improve it. And when the practice is performing well, you ask how we can make it even better. We want someone who enjoys building systems, developing people, improving the patient experience, and seeing the measurable results of their work. If you are looking for a position where you can have a meaningful impact on the growth and success of a practice—and you enjoy being given both responsibility and the autonomy to make things happen—we would love to meet you!
