This role is pivotal in driving practice performance, ensuring compliance with healthcare regulations, and fostering a patient-centered environment. The ideal candidate will possess extensive experience in healthcare practice management, medical office operations, and team leadership, with a passion for elevating patient care standards and operational excellence. You will lead efforts to optimize clinic workflows, manage financial performance, and implement growth strategies that align with organizational goals.

Riverside Optometric Care is looking for an exceptional Practice Operations & Growth Leader who is ready to take ownership of the business and help build a high-performing private optometry practice that does not depend on the owner for its day-to-day success. This is not a traditional office manager position. We are looking for an operator, leader, problem solver, and implementer. The right person understands that a great practice is not built by working harder every day. It is built by creating the right systems, processes, standards, habits, and accountability—and then making sure they are executed consistently.

Build systems that produce consistent behavior. Consistent behavior produces consistent results. Consistent results create a valuable business that can operate without the owner. The Practice Operations & Growth Leader will be responsible for turning this philosophy into reality.
THE MISSION OF THIS ROLE
Your job is to make the practice better, stronger, more profitable, more organized, and less dependent on the owner.
You will be expected to:
Identify problems. Find the root cause. Create the solution. Build the process. Train the team. Implement the system. Measure the activity. Hold people accountable. Improve the process. This person does not wait for the owner to identify every problem. They see the problem. They own the problem. They solve the problem. And they make sure the problem does not repeatedly come back.
WHAT WE ARE BUILDING
We want to build a practice where: Patients consistently receive an exceptional experience. The schedule stays full and productive. Every patient opportunity is appropriately identified and followed through. The team knows exactly what to do and why it matters. Employees are coached and held accountable. Systems are documented and followed. Revenue and profitability consistently improve. The optical department performs. Billing and collections are managed. Inventory is controlled. Marketing generates opportunities. Problems are solved at the appropriate level. The owner does not have to be involved in every operational decision. The ultimate measure of success is owner leverage. If the practice requires the owner to constantly remind, follow up, solve, manage, and intervene, the system is not working. Your job is to build a practice that runs exceptionally well without constant owner involvement.
YOUR PRIMARY RESPONSIBILITY
BUILD
THE MACHINE A
great Practice Operations Leader understands the difference between a result and the activities that create the result. Revenue is a result. A full schedule is a result. New patients are a result. Treatment acceptance is a result. Patient retention is a result. Your responsibility is to identify and manage the daily activities that drive those outcomes.
For example:
Instead of simply saying: "We need more patients." You determine: Are calls being answered? Are missed calls being returned? Are recalls being worked? Are inactive patients being reactivated? Are referrals being requested? Are cancellations being filled? Is the schedule being reviewed every day? Are patients being appropriately scheduled before leaving? Are treatment recommendations being followed up? Are opportunities being tracked? Are team members completing the activities they own? We manage the behaviors that create the results. 1.
PRACTICE GROWTH
You will be responsible for creating and implementing systems that consistently drive practice growth.
Responsibilities include:
Grow new patient volume. Increase patient retention and reactivation. Improve schedule utilization. Reduce unused appointment capacity. Create systems for cancellation and no-show recovery. Develop recall and reactivation systems. Improve internal referrals. Improve treatment follow-up. Identify opportunities to increase revenue per patient. Improve appropriate treatment acceptance. Monitor patient flow throughout the practice. Identify revenue leakage. Develop measurable growth initiatives. Track the effectiveness of every initiative. You should be able to look at the practice and say: "Here is where we are losing opportunity."
Then:
"Here is the system we are going to implement to fix it." 2.
SCHEDULE OWNERSHIP
The schedule is one of the most important assets of the practice. You will own the process of keeping it productive.
Daily responsibilities include:
Review the schedule. Identify openings and gaps. Determine why openings exist. Develop strategies to fill them. Manage cancellations and no-shows. Maintain a waitlist. Conduct recall/reactivation activity. Ensure patients leave with their next appropriate appointment. Monitor future schedule health. Identify trends before they become problems. Hold the team accountable for schedule-related activities. An open appointment is not simply an empty space. It is an opportunity that requires action. 3.
PATIENT EXPERIENCE
We believe exceptional patient experiences create stronger retention, referrals, treatment acceptance, and practice growth. You will build systems around the patient journey from: First Contact → Scheduling → Arrival → Clinical Experience → Handoff → Treatment Recommendation → Checkout → Follow-Up → Recall You will: Identify breakdowns in the patient experience. Create consistent patient communication standards. Improve handoffs between team members. Develop service standards. Coach employees on communication and patient experience. Monitor patient feedback. Create systems to ensure important patient opportunities are not missed. Ensure the patient experience reflects a premium private practice. The goal is not merely to have satisfied patients. The goal is to create patients who trust us, return to us, refer to us, and choose us for their eye care needs. 4.
TEAM LEADERSHIP
You will lead the team—not simply manage the schedule.
You will:
Establish clear expectations. Define roles and responsibilities. Create measurable standards. Conduct regular team meetings. Coach employees daily. Recognize excellent performance. Address performance issues quickly. Hold employees accountable. Develop employees' strengths. Build team morale. Create a culture of ownership. Develop future leaders within the team. You should be capable of saying: "This is the standard." And then ensuring the standard is consistently met. Accountability and morale are not opposites. A great leader creates a culture where people know what is expected, know they will be supported, and know they will also be held accountable. 5.
LEAD MEASURES & DAILY EXECUTION
One of the most important aspects of this position is understanding that results don't happen because we look at the numbers at the end of the month. They happen because the right activities occur every day. You will establish and monitor lead measures These activities must become habits and systems, not occasional initiatives. We do the right things consistently—even when nobody is watching. 6.
SYSTEMS & PROCESS DEVELOPMENT
You will continuously ask: "How can we make this easier, more consistent, and more effective?" You will: Identify recurring problems. Determine root causes. Create SOPs. Build workflows. Create checklists. Establish accountability systems. Train employees. Implement changes. Monitor compliance. Measure outcomes. Refine systems. We do not want someone who creates a beautiful SOP that sits in a binder. We want someone who can make the SOP part of how the team actually works. 7.
KPI & BUSINESS MANAGEMENT
You will use numbers to manage the practice.
Key metrics may include:
Growth Revenue Conversion Operations You will not simply report the numbers.
You will answer:
What happened? Why did it happen? What are we going to do about it? Who owns it? When will it be completed? 8.
BILLING & COLLECTIONS
You must understand the financial engine of a private optometry practice.
You will oversee and/or coordinate:
Medical billing workflows. Vision insurance workflows. Claims. Denials. Accounts receivable. Patient balances. Collections. Payment processes. Billing follow-up. Revenue leakage. Reconciliation processes. You do not need to be a billing specialist. But you must be able to identify when billing is not working and understand what needs to happen to correct it. 9.
OPTICAL MANAGEMENT
You will oversee the operational performance of the optical department.
Responsibilities include:
Frame inventory. Lens inventory. Ordering. Receiving. Pricing. Merchandising. Inventory control. Dead stock management. Vendor relationships. Optical performance. Optical capture. Patient experience. You will understand that optical is not simply a retail department. It is an important component of the patient experience and financial performance of a private optometry practice. 10.
INVENTORY & ACCOUNTS PAYABLE
You will establish systems to ensure the practice spends money intelligently.
Responsibilities include:
Inventory management. Supply ordering. Vendor management. Invoice management. Accounts payable. Expense tracking. Identifying unnecessary spending. Monitoring recurring expenses. Preventing waste. Maintaining appropriate inventory levels.
You should be comfortable asking:
"Do we need this?" "Are we getting the best value?" "Why are we spending this?" 11.
MARKETING & SOCIAL MEDIA
You will help turn the practice's brand into measurable growth.
Responsibilities include:
Social media management. Content planning. Content calendar. Patient education. Video/content coordination. Community outreach. Referral development. Strategic partnerships. Marketing campaigns. Tracking marketing performance.
You understand the difference between:
Creating content and Creating content that drives awareness, trust, appointments, and revenue. 12.
OWNER LEVERAGE
This is perhaps the most important responsibility. Your job is to replace owner dependence with systems and leadership. You will progressively take ownership of: Daily operations. Team accountability. Schedule performance. Patient flow. Operational problems. Process improvement. Vendor management. Administrative systems. KPI tracking. Growth initiatives. The owner should not have to: Chase employees. Remind people repeatedly. Solve the same problem every week. Monitor every appointment. Constantly ask whether tasks were completed. Discover problems after they become emergencies. The owner should be able to step away and know the machine is running.

You are not someone who needs to be told what to do every day. You are someone who sees an opportunity and acts.

REQUIRED EXPERIENCE
Non-negotiable:
Minimum 3 years of private-practice optometry experience. Practice management or operations leadership experience. Experience managing and developing a team. Strong understanding of optometry practice operations. Understanding of billing and collections. Understanding of optical operations. Inventory management experience. Accounts payable experience. Scheduling and patient-flow experience. Strong organizational skills. Strong communication skills. Strong problem-solving ability. Ability to create and implement systems. Ability to work independently. Demonstrated ownership and accountability.
THE IDEAL CANDIDATE WILL ALSO HAVE A
demonstrated history of growing a practice. Experience improving schedule utilization. Experience improving patient conversion. Experience increasing optical performance. Experience building SOPs. Experience implementing accountability systems. Experience coaching underperforming employees. Experience building strong team culture. Marketing and social media experience. Strong financial/business acumen. A track record of making the owner less involved in daily operations.
