San Luis Obispo, Lompoc, Santa Maria, CA ( willing to travel as needed) About Us We are a growing, patient-centered pain management practice dedicated to providing exceptional care through compassion, efficiency, and clinical excellence. We are seeking an experienced Practice Coordinator/Director to oversee the daily operations of our clinic, support our team, and help drive continued growth and operational success. Position Summary The Practice Coordinator/Director is responsible for managing the day-to-day operations of the practice while ensuring an outstanding patient experience, regulatory compliance, and efficient workflow. This leadership role requires a proactive, organized professional with strong healthcare management experience who can lead staff, optimize operations, and support strategic practice growth. Key Responsibilities Oversee all daily clinical and administrative operations. Supervise, train, coach, and evaluate front office and clinical support staff. Develop and implement office policies, procedures, and workflow improvements. Ensure compliance with HIPAA, OSHA, Medicare, and other regulatory requirements. Manage provider schedules, staffing, and clinic productivity. Monitor key performance indicators (KPIs), patient satisfaction, and operational metrics. Coordinate billing, coding, prior authorizations, referrals, and revenue cycle processes in collaboration with billing personnel. Manage inventory, purchasing, vendor relationships, and facility needs. Resolve patient concerns professionally and maintain a high standard of customer service. Recruit, onboard, and retain high-performing team members. Assist with budgeting, expense management, and financial reporting. Support marketing initiatives, physician relations, and business development efforts. Foster a positive, accountable, and collaborative workplace culture. Qualifications Bachelor's degree in Healthcare Administration, Business Administration, or a related field preferred. Minimum of 2-5 years of healthcare management experience; pain management, orthopedic, spine, or multispecialty practice experience strongly preferred. Demonstrated leadership and team management experience. Knowledge of medical terminology, insurance verification, prior authorizations, medical billing, coding, and revenue cycle management. Strong understanding of HIPAA, OSHA, and healthcare compliance standards. Experience with ECW (EMR) systems and Microsoft Office. Excellent communication, organizational, and problem-solving skills. Ability to manage multiple priorities in a fast-paced healthcare environment. Preferred Qualifications Experience managing physician practices with multiple providers. Experience with quality improvement initiatives and performance management. Familiarity with interventional pain management workflows and procedures.
