Job Description
About the Role Bay Eye Medical Group is seeking an experienced Clinical Office Manager to lead day-to-day clinical office operations across our busy ophthalmology practice. This is a hands-on operational leadership role overseeing patient flow and front office and clinical support staff, for a high-volume practice. The Clinical Office Manager reports directly to the Practice Administrator and works closely with physicians, optometrist, front desk leads, surgery coordinators, and clinical leads to keep daily operations running smoothly, efficiently, and professionally. What You'll Do Daily Clinical & Front Office Operations Manage the daily functioning of the clinical office — patient flow, check-in/check-out coordination, schedule execution, room utilization, staffing assignments, and provider support Monitor patient throughput, wait times, capacity constraints, and provider schedule performance; take corrective action in real time Serve as the point person for daily operational issues, escalating systemic or high-risk matters to the Practice Administrator Staff Supervision & HR Recruit, interview, hire, onboard, schedule, coach, and evaluate non-provider staff in coordination with the Practice Administrator Conduct performance reviews, document coaching and corrective action, and participate in termination processes consistent with policy Maintain staffing coverage, cross-training, and contingency plans to support stable clinic operations Directly supervise front desk leads and designated clinical/administrative staff; oversee day-to-day operations involving ophthalmic technicians Training, Quality & Policy Implementation Implement office procedures, workflows, and service standards set by leadership Monitor staff adherence to documentation, scheduling, and communication procedures; identify retraining needs Support onboarding and ongoing training for front office and clinical support staff Patient Experience & Interdepartmental Coordination Address escalated patient service issues and monitor front-end service performance Coordinate with billers, optical staff, and physicians when workflow issues affect collections, authorizations, or scheduling handoffs Manage daily clinic operations, including patient scheduling, check-in/check-out processes, and medical records management using EMR. Oversee human resources functions including hiring processes, staff scheduling, conflict resolution, and maintaining a positive workplace culture focused on excellent customer service. Qualifications Bachelor's degree or equivalent management experience in a healthcare or ophthalmology practice preferred Minimum of 3 years of supervisory experience in a medical practice or similar setting required; ophthalmology or multispecialty ambulatory experience preferred Demonstrated experience in frontline staff management, scheduling, operational problem-solving, employee performance management, and patient service Knowledge of ophthalmic clinic workflows, surgery scheduling, and front office operations preferred Strong communication, organization, follow-through, and conflict-management skills Exceptional organizational skills with a focus on customer service excellence; capable of handling multiple priorities efficiently in a fast-paced environment.
