This is a dynamic, multi-faceted role responsible for managing daily school communications, coordinating student data, and supporting our teaching staff and families. Key Responsibilities 1.
School Communications & Front Desk Front Line Response:
Manage the front office phone lines, general inquiries, and voicemail announcements.
Immediate Communication:
Monitor school walkie-talkies with a strict 5 to 7-second response time to ensure campus safety and efficient operations.
Email Management:
Oversee and respond to daily inquiries coming through the main inbox. 2.
Student Data & Brightwheel Management Daily Attendance Tracking:
Verify classroom attendance records against physical attendance, reach out to families regarding unexcused absences, and ensure all students are checked out at the end of the day.
New Student Onboarding:
Seamlessly transition new students into the system by creating Brightwheel profiles, assigning classes, processing deposits, logging medical/allergy alerts, handling photo releases, and printing backpack/cubby tags.
Health Tracking:
Maintain the school's automated Brightwheel Sick Log, documenting actions taken and official student return dates. 3.
Family Engagement & Event Coordination Parent Messaging:
Coordinate daily reminders and updates via Brightwheel, ensuring primary daily communication is streamlined.
Digital Newsletters:
Design and distribute the comprehensive monthly parent newsletter using Flodesk or Mailmeteor.
Event Logistics:
Manage Sign-Up Genius forms for parent-teacher conferences, volunteer sign-ups, and major school events (e.g., Harvest Day Parade, Holiday Concert, and Graduation). 4.
Human Resources & Team Support HR Representative:
Serve as an objective HR presence by sitting in on disciplinary meetings and collaborating directly with the Employers Council for HR decision-making.
Floater Oversight:
Provide light supervision and support to floating staff, ensuring they adhere to the established Floater Checklists.
Meetings:
Actively participate in weekly 2-hour administration meetings. 5.
Coordinate, compile, and place all school and classroom supply orders every Tuesday.
Vendor Coordination:
Partner with leadership to manage weekly bulk orders (Amazon, Sam's Club) while monitoring individual classroom budgets ($120/month per room).
Snack Distribution:
Dedicate weekly hours to organizing, tracking, and managing the school snack inventory. Experience Experience in school administration, front desk management, or an executive assistant role. Exceptional digital literacy, with high proficiency in Brightwheel (or similar childcare management software), Flodesk/Mailmeteor, and Canva. Outstanding communication skills with a focus on rapid, clear, and empathetic customer service. Highly organized multi-tasker capable of keeping tight schedules and maintaining strict confidentiality.
