Job Description

Position Summary The Hospice Operations Manager manages the administrative infrastructure and back-office engine of our hospice agency. This role does not require a nursing license. The Ops Manager will focus on optimizing field staff scheduling, managing patient intake, supporting referrals, processing payroll data and human resources tasks, and streamlining day-to-day business logistics, often optimizing each area within our company technology platforms, such as our EMR MatrixCare. Additionally, the Ops Manager will oversee non-clinical and office personnel to ensure a highly efficient, compliant work environment. Reports to : The Chief Operating Officer Key Responsibilities

Office Staff Oversight:

Supervise, train, and evaluate most non-clinical office staff, including Intake Coordinators, Schedulers, and Medical Records clerks.

General Office Management:

Oversee the day-to-day physical and digital office environment. Manage internal administrative workflows, implement office policies, and maintain a highly organized, supportive headquarters.

Intake & Referral Management:

Oversee the incoming patient referral pipeline from hospitals, physicians, and families in partnership with the Hospice Liaison team. Coordinate with marketing and clinical triaging teams to ensure rapid, compliant onboarding of new patients and their families.

Field Staff Scheduling:

Support the Director of Professional Services by coordinating the logistics, calendars, and daily route assignments for field nurses, aides, social workers, and chaplains to maximize visit efficiency and prevent staff burnout.

Payroll & Timekeeping:

Review, verify, and approve timesheets for non-clinical office employees. Interface directly with payroll vendors or HR to ensure accurate compensation and mileage tracking. Prepare payroll processing tasks for final approval and submission in the payroll/HR system.

Compliance & Document Operations:

Maintain absolute organization of medical records, billing documents, and human resource files in compliance with HIPAA and Medicare standards.

Vendor & Supply Logistics:

Assist in coordinating logistics and contracts with durable medical equipment (DME) providers, pharmacies, medical supply, and office supply vendors. Qualifications & Requirements

Education:

Bachelor's degree in Healthcare Administration, Business Administration, or a related field is preferred.

•

Experience:

Minimum of 3 years of administrative experience in healthcare, with a proven track record of directly supervising office personnel. Experience in home health, hospice, or private duty care environments is strongly preferred.

Skills:

Expert proficiency in Electronic Medical Record (EMR) software (e.g., Homecare Homebase, MatrixCare, Kantime) and HRIS platforms.

•

Core Competencies:

Exceptional people management and operational skills, logical problem-solving abilities, financial aptitude for payroll management, and deep familiarity with healthcare intake compliance.

Pay:

$85,000.00 - $100,000.00 per year
