We are looking for a friendly, professional, and highly organized Office Manager & Receptionist to be the first point of contact for our clients, visitors, and team members, while also overseeing the smooth day-to-day operations of the office. The ideal candidate is confident communicating with people, comfortable managing multiple tasks, and able to provide a polished and welcoming experience alongside strong operational and organizational leadership. Responsibilities Greet and assist clients, visitors, and guests in a professional and friendly manner. Answer, screen, and direct incoming phone calls. Manage appointments, schedules, and meeting bookings. Respond to emails and general inquiries promptly. Maintain an organized and welcoming reception area. Assist with basic administrative tasks, data entry, filing, and documentation. Receive and distribute mail, deliveries, and other correspondence. Coordinate with internal teams to ensure visitors and client needs are handled efficiently. Maintain confidentiality when handling company or client information. Oversee day-to-day office operations, ensuring a clean, organized, and functional workspace. Manage office supplies inventory, place orders, and liaise with vendors and suppliers. Coordinate with building management and service providers (cleaning, maintenance, repairs, etc.). Support onboarding of new employees, including workspace setup and orientation logistics. Assist with organizing company events, meetings, and team activities. Help manage office budgets, expenses, and invoices related to office operations. Ensure office equipment (printers, phones, etc.) is functioning and coordinate repairs as needed. Support HR and leadership with administrative and operational tasks as needed. Support other administrative duties as needed. Qualifications Previous experience in office management, reception, front desk, customer service, hospitality, or administrative support preferred. Excellent verbal and written communication skills. Professional, friendly, and confident personality. Strong organizational, multitasking, and time-management skills. Ability to prioritize and problem-solve in a fast-paced environment. Comfortable using email, Microsoft Office/Google Workspace, scheduling tools, and other basic software. Experience coordinating vendors, suppliers, or office logistics a plus. Strong attention to detail. Reliable, punctual, and professional. High school diploma or equivalent preferred; additional certification in office administration is a plus.
