This vital role ensures smooth administrative workflows, maintains efficient communication channels, and supports the overall productivity of our team. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and technical proficiency to foster a welcoming and well-functioning office space. Duties Manage office operations including scheduling, filing, data entry, and maintaining office supplies to ensure seamless daily activities Oversee front desk responsibilities such as greeting visitors, answering multi-line phone systems, and providing excellent customer service with professional phone etiquette Coordinate calendar management for executives and team members, including scheduling meetings and appointments using productivity software and Google Workspace tools Handle bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping and invoicing processes Maintain accurate records through proofreading, filing, and data entry while ensuring confidentiality and organization of sensitive information Support client communication efforts by managing correspondence, preparing documents, and assisting with client inquiries in both bilingual (English/Spanish or other) languages Provide administrative support including word processing, spreadsheet management, proofreading documents, and supporting office projects to enhance overall efficiency Experience Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service excellence Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software such as Google Workspace Experience with multi-line phone systems, data entry, filing systems, and calendar management tools Technical proficiency in computer literacy including typing speed, proofreading skills, and familiarity with bookkeeping software like QuickBooks Bilingual abilities are highly desirable to facilitate effective communication with diverse clients and team members Prior experience in medical or dental receptionist roles or personal assistant positions is a plus but not required Strong organizational skills with the ability to prioritize tasks efficiently while managing multiple responsibilities simultaneously Join us as an Office Manager to lead our administrative functions with energy and precision!
