In person Position Overview BioHealth Infusion Center is seeking a highly organized, proactive, and patient-focused Office Manager to support the day-to-day operations of our Pembroke Pines and Fort Lauderdale infusion centers. Reporting directly to the Practice Administrator , the Office Manager will help ensure both Broward locations operate efficiently while providing an excellent experience for patients, clinical staff, and referring provider offices. This is a hands-on operational position . We are looking for someone who is comfortable being present in the centers, coordinating daily activities, solving problems, interacting with patients and nurses, and serving as an important connection between our infusion centers and referring medical practices. As our Broward locations continue to grow, the responsibilities and leadership opportunities associated with this position are expected to grow as well. Key ResponsibilitiesOffice & Infusion Center Operations Support the daily operations of the Pembroke Pines and Fort Lauderdale locations. Open and prepare the offices for scheduled patient and infusion days. Help coordinate patient flow and daily operational activities with nursing and administrative staff. Ensure the offices remain organized, professional, properly supplied, and ready to receive patients. Assist nurses and other team members with non-clinical operational and logistical needs. Monitor office supplies, deliveries, and general facility needs. Identify operational issues and work with the Practice Administrator to resolve them. Help ensure established company procedures and workflows are followed at both locations. Communicate operational or staffing concerns promptly to the Practice Administrator. Patient Experience & Follow-Up Welcome patients and help create a professional, comfortable, and positive experience. Serve as a point of contact for non-clinical patient questions and concerns. Conduct follow-up calls with patients after their infusions to ask about their overall experience and satisfaction. Document relevant patient feedback and communicate issues requiring additional attention. Escalate any reported symptoms, reactions, or medical concerns immediately to the appropriate clinical staff. Help identify opportunities to continuously improve the patient experience. This is a non-clinical management position and does not provide medical advice or make clinical decisions. Provider Relations & Outreach Help maintain strong communication and relationships with referring provider offices. Serve as an operational liaison between BioHealth Infusion Center and referring practices. Communicate appropriate updates regarding referred patients in accordance with company policies and applicable privacy requirements. Help ensure referring offices receive responsive and professional service. Identify opportunities to improve communication and strengthen existing provider relationships. When needed, assist with outreach and visits to medical practices to maintain and strengthen existing relationships and help develop new ones. Support provider-relations and practice-growth initiatives as directed by administration. Schedule & Locations This position supports both of our Broward County infusion centers: Pembroke Pines, FL Fort Lauderdale, FL During the initial growth phase, the anticipated schedule will generally consist of approximately three days per week in Pembroke Pines and two days per week in Fort Lauderdale . The specific schedule may change based on infusion schedules, patient volume, staffing, and operational needs. Reliable transportation and the ability to work at both locations are required. Qualifications Previous experience in a medical office, physician practice, infusion center, specialty practice, or other healthcare setting preferred. Experience in medical office management, healthcare administration, patient services, or provider relations is strongly preferred. Strong organizational and problem-solving skills. Excellent interpersonal and customer-service skills. Professional and comfortable communicating with patients, nurses, physicians, medical offices, and administrative leadership. Ability to work independently and take ownership of day-to-day responsibilities. Ability to manage multiple priorities in a healthcare environment. Dependable, proactive, professional, and detail-oriented. Comfortable working in a growing organization where responsibilities may evolve as patient volume increases. Basic proficiency with computers, email, Microsoft Office, and healthcare-related software. Bilingual English/Spanish required. Candidate must be able to communicate effectively and professionally in both English and Spanish. Ideal Candidate The ideal candidate is someone who takes ownership of their locations and does not wait to be told about every small issue that needs attention. We are looking for a hands-on, resourceful, personable, and service-oriented professional who can move comfortably between operational responsibilities, patient service, and relationship-building. On any given day, this may include coordinating with nurses during an infusion schedule, helping resolve a patient concern, following up with patients about their experience, communicating with a referring provider's office, addressing an operational issue, or assisting with provider outreach. This position provides an opportunity to become an important part of BioHealth Infusion Center's continued growth in Broward County and assume increasing responsibility as our Pembroke Pines and Fort Lauderdale locations expand.
