Full Job Description Position Overview:
The Practice Manager is responsible for the day-to-day operations of Yuva Medical Spa and Laser Center, a physician-led medical spa with a physician on premises during all operating hours. This role ensures an exceptional client experience, efficient business operations, regulatory compliance, and a motivated, high-performing team, blending business management, staff leadership, and customer service oversight in a medical aesthetics environment.
Key Responsibilities:
Operations Management Oversee daily clinic operations, including scheduling, inventory, and facility upkeep Develop and enforce standard operating procedures (SOPs) for front desk, treatment rooms, and back-office functions Manage vendor relationships and supply ordering for medical, skincare, and laser equipment/products Ensure compliance with state medical spa regulations, OSHA standards, and health/safety protocols Serve as operational point of contact alongside the on-site Medical Director, supporting physician oversight of clinical protocols Staff Leadership Recruit, hire, train, and supervise front desk staff, aestheticians, and support personnel Coordinate schedules for providers (nurse injectors, laser technicians, estheticians) to optimize appointment coverage Conduct performance reviews, set goals, and provide ongoing coaching Foster a positive, professional team culture aligned with the spa's brand and values Financial Management Manage budgets, monitor daily revenue, and track key performance indicators (KPIs) such as client retention, average ticket size, and treatment package sales Oversee point-of-sale systems, billing, and payment processing Assist with payroll coordination and expense tracking Identify opportunities to improve profitability and reduce operational costs Client Experience Ensure a welcoming, professional environment from check-in to checkout Handle escalated client concerns, complaints, and service recovery Monitor client satisfaction and implement feedback-driven improvements Support marketing and promotional initiatives (social media coordination, loyalty programs, seasonal promotions) Compliance & Documentation Maintain accurate client records in compliance with HIPAA and state medical board requirements Ensure staff licensing, certifications, and continuing education are current Coordinate with the on-site Medical Director on protocol updates and quality assurance Bachelor's degree in business administration, healthcare management, or related field (or equivalent experience) 3+ years of management experience, preferably in a medical spa, dermatology, aesthetics, or healthcare setting Familiarity with laser/aesthetic treatments and medical spa regulations preferred Strong leadership, organizational, and interpersonal skills Proficiency with scheduling/POS software (e.g., Vagaro, Mindbody, Aesthetic Record) and basic financial reporting Excellent communication and problem-solving skills Compensation & Benefit Base salary: $50,000/year
Commission:
Tiered structure based on procedure type, based on collections
PTO:
80 hours annually based on hours worked.
