Dogwood Park Animal Clinic - Grovetown, Georgia Dogwood Park Animal Clinic is seeking an experienced, confident, and highly organized Practice Operations Manager to help lead our growing privately owned practice. This is a true leadership position. We are looking for someone who can take ownership of the day-to-day operations of the hospital , lead our team, maintain an excellent client experience, and help ensure the practice remains efficient, productive, and financially healthy. Our goal is to have a manager we can trust to run the practice when ownership is not physically present . The right person will be comfortable making decisions, solving problems, holding people accountable, and keeping the hospital moving forward without requiring constant direction. About Us Dogwood Park Animal Clinic is a privately and locally owned small animal practice in Grovetown, Georgia. We are committed to providing high-quality, compassionate veterinary medicine while maintaining a healthy workplace for our team. As we grow into a two-doctor practice, strong leadership and consistent management will become increasingly important. Clinic culture is a priority for us. We want our employees to enjoy coming to work, feel appreciated, understand what is expected of them, and have the tools and support necessary to do their jobs well. At the same time, we believe a healthy culture includes accountability, professionalism, consistency, and high standards. We are looking for a manager who understands how to balance both. The Role Our Practice Operations Manager will serve as the primary leader for the day-to-day non-medical operations of the hospital. This person should be able to walk into the clinic, understand what is happening, recognize problems before they become larger issues, and take action. Team Leadership & Accountability Responsibilities include: Managing the daily performance and workflow of the veterinary support team Helping create and maintain appropriate staff schedules Establishing clear expectations and holding employees accountable Addressing attendance, punctuality, performance, communication, and behavioral concerns Conducting regular employee check-ins and performance evaluations Recognizing excellent performance and helping strong employees continue to grow Coaching employees when improvement is needed Helping resolve interpersonal conflicts professionally and promptly Identifying training needs and coordinating staff development Helping onboard and train new employees Promoting teamwork and communication between doctors, assistants, CSRs, and leadership Protecting and strengthening the culture of the practice Our manager should be approachable and supportive but also comfortable having difficult conversations when necessary. Keeping employees happy does not mean avoiding accountability. We want a manager who can build a workplace where good employees feel valued and supported while expectations remain clear and consistent. Client Experience The Practice Operations Manager will serve as a point of escalation for client concerns and should be capable of resolving difficult situations professionally without requiring ownership to become involved in every problem.
Responsibilities include:
Addressing client complaints and service concerns Helping resolve communication problems Supporting CSRs with difficult client interactions Monitoring the overall client experience Identifying recurring complaints or service issues Helping develop systems that improve communication and client satisfaction Protecting the reputation and professional standards of the practice We want someone who knows when they can solve a problem independently—and when something truly needs to be escalated to the owner or veterinarian. Practice Operations The Practice Operations Manager will oversee the systems that keep the hospital functioning efficiently, including: Daily hospital workflow Staff scheduling and coverage Inventory oversight Ordering and supply management Vendor relationships Preventing unnecessary waste Maintaining appropriate inventory levels Ensuring hospital policies and procedures are followed Identifying workflow bottlenecks and inefficiencies Helping create, implement, and maintain SOPs Coordinating equipment maintenance and service Ensuring appropriate opening, closing, cleaning, and operational procedures are completed Helping prepare for staff meetings and implementing decisions made by leadership The goal is simple: the hospital should run well whether the owner is standing in the building or not. Practice Growth & Financial Health While this position is not primarily responsible for bookkeeping, banking, or accounting , the Practice Operations Manager will play an important role in monitoring the operational and financial health of the practice. We want someone who understands that excellent patient care, employee satisfaction, client service, efficiency, and profitability are interconnected.
Responsibilities may include monitoring:
Revenue trends Appointment volume Doctor and staff utilization Labor efficiency Inventory costs Cost of goods Missed or uncharged services Discounts and adjustments Appointment cancellations and no-shows Client retention Preventative-care compliance Scheduling efficiency Average transaction and other relevant practice KPIs The Practice Operations Manager should be able to review practice data, recognize concerning trends, investigate why they are happening, and bring potential solutions to ownership. We aren't looking for someone to simply tell us that numbers went down. We want someone who asks why—and helps determine what we can do about it. Improving the Practice A successful Practice Operations Manager should continuously look for opportunities to make Dogwood Park better.
That may mean identifying:
Services we could offer more effectively Revenue that is being unintentionally missed Inefficient scheduling practices Inventory waste Areas where staff training would improve productivity Opportunities to improve client retention Better systems for reminders and follow-up Ways to improve workflow without sacrificing patient care Opportunities to increase profitability responsibly We will never expect our team to push unnecessary services or compromise medical judgment to generate revenue. Our goal is to operate a healthy, profitable veterinary practice by providing excellent medicine efficiently and capturing appropriate charges for the work we already perform. What We're Looking For The ideal candidate is: A confident and capable leader Highly organized Dependable and trustworthy Comfortable making decisions independently Proactive rather than reactive Excellent at communicating with different personalities Comfortable addressing conflict Able to hold employees accountable respectfully Good at recognizing and developing talented employees Able to delegate rather than trying to do everything personally Detail-oriented without losing sight of the bigger picture Comfortable analyzing reports and operational data Interested in understanding the business side of veterinary medicine Able to identify problems and propose practical solutions Protective of a healthy workplace culture Able to maintain appropriate confidentiality Experience Previous veterinary management experience is strongly preferred . Candidates with significant veterinary experience combined with demonstrated leadership or management ability will also be considered. Experience with veterinary practice-management software, inventory management, scheduling, HR responsibilities, employee development, client-service recovery, and veterinary practice KPIs is highly desirable. This is not an entry-level management position. We need someone who is ready to take ownership of the role and lead. What Success Looks Like The right person in this position will allow ownership to spend less time managing the daily details of the hospital.
