Job Description
Office Manager - Medical Practice Pinnacle Pain Management Specialists is seeking an experienced, highly organized Office Manager to oversee the day-to-day administrative and operational functions of our medical practice. This is a hands-on leadership position focused on staff management, patient flow, scheduling, office operations, compliance, and provider support. This position is not responsible for billing, collections, accounting, or financial management. Responsibilities Manage daily office operations and ensure the practice runs efficiently Supervise, support, and hold administrative and clinical support staff accountable Coordinate staff schedules, coverage, PTO requests, and attendance Oversee front-desk operations, patient scheduling, check-in/check-out, and telephone workflows Monitor patient flow and address scheduling or operational issues throughout the day Ensure staff follow established policies, procedures, and workflows Assist with onboarding and training new employees Maintain employee files and required administrative documentation Coordinate provider schedules and communicate operational changes to staff Monitor timely completion of assigned administrative and clinical-support tasks Assist with maintaining organized and compliant patient records Support credentialing, accreditation, and regulatory requirements as needed Coordinate with outside vendors and service providers Address patient concerns professionally and escalate issues when appropriate Conduct regular staff meetings and communicate expectations clearly Identify workflow problems and implement practical solutions Work closely with the Practice Administrator and Medical Director on daily practice operations Maintain a professional, accountable, and respectful workplace environment This Position Does NOT Include The Office Manager will not be responsible for: Medical billing or coding Insurance claims or payment posting Accounts receivable or collections Bookkeeping or accounting Accounts payable Payroll processing Practice financial reporting Qualifications 3+ years of medical office management, healthcare administration, or comparable supervisory experience preferred Experience supervising employees in a busy medical practice strongly preferred Strong organizational and time-management skills Ability to manage multiple priorities and follow through on assignments Comfortable addressing employee performance and accountability issues Excellent written and verbal communication skills Strong problem-solving abilities Professional and confident when communicating with physicians, staff, patients, and outside organizations Experience with electronic medical record systems Proficiency with Microsoft Office and general office technology Ideal Candidate We are looking for someone who is organized, dependable, proactive, and comfortable taking ownership of daily operations. The right person notices problems before they become larger issues, follows through without constant supervision, and is comfortable managing staff and enforcing established expectations. This position is ideal for an experienced medical office professional who enjoys keeping a busy practice organized and operating efficiently.
