Job Description
The Catholic Community of St. Francis Xavier , located in Hunt Valley, MD is seeking a motivated, organized, and service-oriented individual to serve as our Office Manager . This position supports the Pastor in the daily administrative, financial, operational, and communication needs of the parish while helping ensure the smooth and efficient operation of the parish office and campus. Essential Functions Administrative & Office Support Provide general office support, including typing, filing, answering phones, receiving and distributing mail, and maintaining office equipment such as the copier and postage meter. Maintain sacramental records, parish databases, the parish census, mailing lists, and other parish records. Coordinate the parish calendar and schedule appointments, meetings, and parish events. Prepare and assist with parish communications, including the weekly bulletin, parish website, social media platforms, parish-wide emails, and weather-related announcements. Manage the parish bulletin process by working with the bulletin publishing company. Work with ministry platform software and electronic parish databases. Coordinate with the parish IT provider and website management company to ensure technology systems function effectively. Welcome parishioners and visitors with warmth, professionalism, and hospitality, and prepare welcome packets for new parishioners. Attend staff meetings, prepare meeting agendas and materials as requested, take meeting minutes, and distribute follow-up notes. Maintain confidential personnel and parish records with discretion and professionalism. Be available for consultation outside normal working hours in the event of a facilities or parish emergency. Assist the collection counting team by obtaining collection bags from the bank, preparing collection materials, and supporting the collection process as needed. Prepare parish announcements and other communications as requested. Collaborate closely with the Director of Parish Operations, clergy, staff, and volunteers to ensure the smooth and efficient operation of parish ministries and events. Prepare parish reports, mailing lists, statistical information, and parish data as requested by the Pastor. Assist the pastoral team with parish evangelization initiatives, small group development, hospitality, and other pastoral programs. Perform other administrative duties as assigned by the Pastor or Director of Parish Operations. Position Qualifications Excellent organizational, communication, and interpersonal skills. Strong computer proficiency, including Microsoft Office Suite, Adobe Acrobat, Microsoft Publisher, Canva, parish database software, and other publishing or communication platforms. Excellent typing skills (minimum of 50 words per minute preferred). Ability to maintain strict confidentiality and exercise sound judgment. Ability to prioritize multiple responsibilities, work independently, and meet deadlines in a fast-paced environment. Experience in office administration, customer service, communications, or a related field. Strong attention to detail and a commitment to accuracy. A collaborative spirit with the ability to work effectively as part of a team. A willingness to support and advance the mission of the Catholic Church through professional, respectful, and faith-filled service. Preferred Qualifications Practicing (active) Roman Catholic in good standing. Commitment to embracing and supporting the mission and values of the Catholic Community of St. Francis Xavier. A genuine interest in getting to know parishioners and fostering a welcoming parish environment. Interest in learning and implementing new technologies and communication tools to enhance parish ministry and administration.
