Job Description

Position Overview We are seeking an experienced and organized Operations Manager to oversee the daily operations of multiple orthopedic and spine clinic locations. This role is responsible for managing clinical and operational departments, ensuring efficient workflows, regulatory compliance, operational performance, and an exceptional patient experience. The Operations Manager will lead multidisciplinary teams, including Medical Assistants, Prior Authorization, Radiology/X-Ray, and MRI staff. In addition, this position would oversee the Durable Medical Equipment (DME) personnel. This position works closely with physicians and the Practice Administrator, this individual will ensure consistent operations, appropriate staffing, and high-quality patient care across all locations. The following examples represent the key responsibilities and performance expectations of this role. Additional duties may be assigned to support departmental and organizational objectives. Staffing Oversight/Employee Leadership Oversee the daily activities and performance of clinical and operational staff. Recruit, onboard, train, and retain qualified team members. Develop and maintain provider schedules for all clinic locations and communicate updates to the appropriate team members. Assess staffing needs and implement staff schedules. Approve timecards for biweekly payroll. Monitor scheduling efficiency and resource allocation, implementing improvements to enhance productivity and workflow. Maintain employee documentation, training, and competency records. Promote accountability, professionalism, teamwork, and exceptional patient experience with an emphasis on continuous improvement. Conduct coaching, corrective action, and performance improvement initiatives. Clinic Operations Identify and implement workflow improvements to enhance clinic efficiency. Monitor and address operational performance metrics. Develop standardized processes across all locations and initiate adaptations when needed. Equipment and Purchasing Oversight Lead initiatives on equipment acquisition and replacement planning. Develop and maintain vendor relationships. Research and implement new products and services. Develop and implement cost-effective inventory management practices. Financial & Operational Performance Develop, communicate, and monitor departmental budgets. Assess labor utilization, staffing productivity, and provider block scheduling. Review expenses and develop procedures to identify cost-saving opportunities. Position Type Full-Time during clinical hours Monday through Friday, 8:00 a.m. through 4:30 p.m. Salaried (Exempt) Management Position Travel required between clinic locations (Duluth, Virginia, Hermantown, Hibbing, and Grand Rapids) Department Oversight Medical Assistants (MAs) Durable Medical Equipment (DME) personnel Prior Authorization Team X-Ray/Radiology Services MRI Services Qualifications Required Minimum of 2 years of healthcare management or clinic operations experience. Experience supervising multidisciplinary healthcare teams. Knowledge of ambulatory healthcare operations and patient flow management. Experience with staffing, scheduling, productivity monitoring, and workflow management. Experience with prior authorization processes and insurance requirements. Proficiency with EMR systems, healthcare management software, and payroll software. Preferred Experience in orthopedic, spine, sports medicine, or specialty medical practices. Experience managing DME and prior authorization operations. Knowledge of Radiology, MRI, and ancillary service operations. Bachelor's degree in Healthcare Administration, Business Administration, Nursing, or a related field. Knowledge, Skills & Abilities Strong operational and personnel management skills. Excellent organizational, communication, and problem-solving abilities. Ability to manage multiple departments and clinic locations. Knowledge of DME operations, reimbursement processes, and payer requirements. Commitment to exceptional patient service and operational excellence. Reporting Structure Reports directly to the Practice Administrator. Physical Requirements Ability to travel regularly between clinic locations. Ability to sit, stand, walk, and move throughout clinic environments for extended periods. Ability to occasionally lift and move up to 25 pounds. Pay:
$81,348.00 - $122,928.00 per year
