Ahern Painting is seeking an ambitious and highly organized Office Manager & Administrative Assistant to join our team. This position has the potential to evolve with greater responsibility based on the candidate's skills and commitment. The successful candidate will primarily work from our Pennsauken spray shop business office alongside the President and will play an important role in supporting the day-to-day operations of the company. Many of the responsibilities listed below will be shared with the President. We are eager to welcome the right person to our family and grow together as our operation expands. Financial Responsibilities Manage invoicing and accounts payable/receivable (AP/AR) Assist with collections Manage and maintain QuickBooks Assist with financial recordkeeping and reporting Administrative Responsibilities Manage personnel-related communications, policies, and procedures License, regulation and certification management Manage the franchise corporate relationship Insurance policy management Coordinate employee benefits Sales & Marketing Responsibilities Serve as the first point of contact for customers and prospective customers Qualify prospective customers and schedule estimates/bids Maintain ongoing communication with customers and prospects Convert bid sheets to proposals Assist with marketing vendor management Operations Responsibilities Manage budget sheets Contribute to job management system Participate in weekly meetings Inventory management Requirements Bachelor's Degree Exceptional phone etiquette and communication skills Positive personal and professional referrals Early morning availability on some days Proficiency within the suite of Google and Microsoft Office apps on PC and mobile devices Mathematical proficiency Excellent organizational skills Unicorn Skills On-line marketing background or experience, especially in social media Proficiency in business related online platforms and apps Professional financial management history Ability to understand and speak Spanish Technical/IT proficiency Benefits 3% Employer contribution to 401(k) plan 50% Employer contribution to health care premiums 50% Employer contribution to dental care premiums Flexible Schedule Learn more about
