Office Administrator Enchantment Family Dentistry Position Summary:
The Office Administrator is responsible for managing front-office administrative duties. This individual ensures smooth daily operations. BLS certification is a plus; support will be provided to obtain it if needed. Minimum 3 yrs previous dental office experience preferred. Key Responsibilities:
Administrative Duties:
Manage patient scheduling, appointment confirmations, and front desk communications. Verify patient information, insurance details, and enter data accurately into the dental software system. Collect payments, process billing, and assist in cash management to ensure efficient financial transactions. Maintain patient records, filing, and ensure compliance with HIPAA and privacy regulations. Respond to patient inquiries both in person and by phone, fostering a welcoming environment. Support inventory management and office organization. Collaborate with the team and communicate effectively to support overall office operations.
Qualifications:
No certification required. High school diploma or equivalent; some college coursework preferred. Minimum of 3 years of experience in an administrative or office setting. Excellent customer service skills and a professional demeanor. Strong written and verbal communication and interpersonal skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with dental practice management software or medical billing and insurance procedures is required. Ability to handle multiple tasks simultaneously, prioritize effectively, and stay organized. Strong attention to detail and a high degree of accuracy. Ability to maintain confidentiality. Quick learner with a positive attitude, receptive to feedback and coaching. Ability to learn the Dentrix dental software within the first month of employment. Flexibility to adapt to a dual administrative and clinical support role with professionalism. Willingness to obtain BLS certification; support will be provided if needed.
Compensation and Benefits:
Hourly pay: based on experience and performance. 40 hours of Paid Time Off (PTO) annually. Sick leave accrual in accordance with New Mexico state law.
